Executive Assistant to the Chief Academic Officer

TITLE: Executive Assistant to the Chief Academic Officer
REPORTS TO: Chief Academic Officer (CAO) / Principal
JOB FUNCTION: The Urban Academy of Greater Pittsburgh Charter School is seeking a highly organized, proactive, and detail-oriented individual to serve as the Executive Assistant to the CAO. This role plays a vital part in supporting the Principal and ensuring the smooth operation of the school's administrative functions. The Executive Assistant will handle a wide range of administrative tasks, maintain effective communication channels, and assist in managing the Principal's schedule and priorities.
DUTIES and RESPONSIBILITIES
Administrative Support:
● Provide comprehensive administrative support to the Principal, including managing correspondence, drafting documents, and maintaining files and records.
● Organize and schedule meetings, appointments, and events on behalf of the Principal.
● Coordinate travel arrangements, itineraries, and accommodations as required.
● Prepare agendas, meeting minutes, and other materials for meetings.
● Maintain and update the Principal's calendar, ensuring accuracy and timely scheduling.
Communication and Liaison:
● Serve as the primary point of contact for internal and external stakeholders, including parents, staff, students, and community members.
● Respond to inquiries and requests, both orally and in writing, on behalf of the Principal.
● Handle incoming calls and emails, prioritizing and redirecting them as necessary.
● Maintain confidentiality of sensitive information and exercise discretion in all communications.
Event Coordination and Support:
● Assist in planning and organizing school events, such as parent-teacher conferences, open houses, and staff meetings.
● Coordinate logistics, including venue arrangements, catering, and audio-visual equipment setup.
● Support the Principal during events, ensuring a smooth and professional experience for all participants.
Special Projects:
● Collaborate with other administrative staff and faculty members on special projects as assigned by the Principal.
● Conduct research, gather data, and prepare reports or presentations as required.
EDUCATION and EXPERIENCE
● High school diploma or equivalent (Bachelor's degree preferred).
● Proven experience in an administrative support role, preferably in an educational or similar setting.
● Excellent organizational and time management skills with the ability to multitask and prioritize effectively.
● Strong verbal and written communication skills, including professional phone etiquette.
● Proficiency in using office productivity software (e.g., Microsoft Office Suite, Google Workspace).
● Ability to handle sensitive information with discretion and maintain confidentiality.
● Strong attention to detail and accuracy in data management and record-keeping.
● Ability to work independently with minimal supervision and as part of a team.
● Flexibility and adaptability to changing priorities and demands.
● Positive attitude, proactive approach, and willingness to take initiative.

SALARY
The salary range for this position is between $38,000 and $45,000 annually based on experience.
