Inventory & Purchasing Coordinator
Full-Time | Native Forest Nursery
The Inventory & Purchasing Coordinator is the operational backbone of our supply chain — owning the full lifecycle of goods from the moment they arrive to the moment they ship. This role manages inbound purchasing and receiving, maintains precise inventory records, coordinates outbound fulfillment, oversees tag reporting, and keeps data accurate across all systems. The right person is organized, proactive, and comfortable splitting time between an office and a working nursery environment.
Purchasing & Receiving
- Receive and inspect incoming goods, verifying accuracy against purchase orders and packing slips
- Coordinate inbound shipment schedules for timely, efficient receiving operations
- Enter, update, and maintain purchase orders accurately in the system
- Communicate with purchasers and vendors on order status, shipping confirmations, and issue resolution
- Proactively track incoming shipments and address delays or discrepancies
- Partner with warehouse and operations teams on proper labeling, storage, and documentation
- Resolve issues related to damaged, missing, or incorrect shipments
- Identify and support continuous improvement of purchasing and receiving processes
Inventory Management
- Maintain accurate inventory records for all finished and saleable goods
- Perform regular audits and validations to ensure data completeness and accuracy
- Investigate and resolve discrepancies, identifying root causes and implementing corrective actions
- Update inventory across internal systems and customer-facing platforms in real time
- Monitor inventory flow, availability, and trends, and communicate key insights to relevant teams
Outbound Fulfillment
- Coordinate outbound order preparation and shipping schedules to ensure accurate, on-time delivery
- Verify outbound shipments against orders for accuracy in product, quantity, and labeling
- Communicate with sales and operations teams on outbound priorities and scheduling
- Resolve outbound discrepancies or delivery issues promptly
- Ensure all outbound documentation is complete, accurate, and properly filed
Tag Reporting
- Generate and maintain tag reports to ensure all inventory items are accurately labeled and tracked
- Audit tag accuracy across inventory, identifying and resolving labeling gaps or errors
- Coordinate with warehouse and operations teams on proper tagging of goods for identification, tracking, and outbound shipment
- Distribute tag reports to relevant teams and support tagging-related workflows
Reporting & Documentation
- Generate and distribute regular inventory and purchasing reports
- Maintain organized records for purchase orders, inventory data, and historical documentation
- Support leadership with data pulls, reporting, and ad hoc analysis as needed
Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- Experience in purchasing, logistics, inventory coordination, or a related field preferred
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office; experience with ERP or inventory management systems a plus

Working Conditions
- Time mostly in office and some warehouse/nursery environments
- Ability to lift light to moderate loads as needed
- Mostly standard business hours with blackout dates and extended hours during shipping season
Pay: $18.00 - $25.00 per hour
