General Statement of Duties: Plans, develops, organizes, implements and supervises community events.
Supervision Received: Works under the direction of the Community Events Manager.
Supervision Exercised: Race Series/ Community Events Associates and volunteers.
JOB DESCRIPTION

- Organizes and manages a variety of diverse events including, but not limited to, virtual, indoor and outdoor, concerts, festivals, food and beverage tastings, and craft fairs. Creates event site plans, budgets, task lists, timelines, and work orders.
- Secures all necessary permits for events, including park rentals, liquor licenses, fire permits, venue contracts and reservations, as well as county permissions such as street closures and barricades.
- Collaborates closely with a wide range of vendors, including security companies, waste removal services, rental providers, lighting technicians, bands, and alcohol vendors.
- Coordinates volunteers and support staff for community events, overseeing their training, operations, customer service, and adherence to safety protocols.
- Responsible for tracking event budgets, producing detailed reports, and ensuring events are delivered within financial goals.
- Demonstrates strong communication skills, meticulous planning, and effective collaboration with vendors to build and sustain successful long-term partnerships.
- Manages event ticket sales, working closely with the Marketing & Communications team to promote and maximize attendance.
- Actively participates in the physical set-up and tear-down of events, handling supplies and equipment either independently or as part of a team.
- Utilizes strong interpersonal skills to collaborate effectively with team members in the planning and execution of events, ensuring a team-driven approach.
- Participates in the mission of the organization of “Enhancing property values and creating quality of life through recreation, community events, and leadership.”
- Performs related duties as assigned and required.
Physical and Environmental Standards:
Upper body strength is a requisite to lift/move a maximum of 40 pounds unassisted and 60 pounds with assistance. Standing and walking for long periods of time; bending, stooping, pushing, pulling and climbing. Work may be performed both indoors and outdoors. If indoors, work is performed in a busy office where noise and interruptions prevail. If outdoors, all types of weather conditions may occur. The ability to talk and hear via the telephone and through face-to-face communication is needed. Vision requirements include near and far acuity.
QUALIFICATIONS
Required Knowledge, Skills & Abilities:
Requires thorough knowledge of special and community event programming, development, implementation, and management of small and large-scale community-wide special events. Must have solid organizational skills and demonstrate the ability to multi-task. Strong knowledge of up-to-date marketing tools and daily marketing practices. Ability to maintain an effective working relationship with event team and HRCA employees. Must be able to change and adapt as necessary on-site, at events, and in the office. Strong communication and interpersonal skills relating to conflict resolution and handling sensitive situations with tact, confidentiality and diplomacy. Ability to communicate effectively both verbally and in writing. Strong knowledge of Microsoft Office, Adobe Creative Suite, HTML, and web design preferred. Experience with Canva, social media and Monday.com a plus. Must possess, or be able to obtain, current American Red Cross Community First Aid and Safety Certification, CPR, and TIPS Training Certificate within 30 days of employment. Personal vehicles are used for company business. Proof of insurance and a good driving record are mandatory. Must be able to work holidays, weekends and evenings as necessary to execute an event. Must pass a drug test and background screening.

Education:
Bachelor’s degree in a related field from a four-year college or university is required, or equivalent of education and experience.
Experience:
A minimum of two years of direct experience in planning and programming large scale events is desired.
