Job Title: Part-Time Grant Administrator
Position Type: Part-Time (Approximately 15 hours per week)

Position Summary
On Our Own of Roanoke Valley, Inc. (OOORV) is seeking a highly organized, detail-oriented Grant Administrator to oversee the administration of grants and ensure compliance with funding requirements. This newly created position is ideal for someone who enjoys organization, financial tracking, documentation, and working behind the scenes to help a mission-driven nonprofit succeed.
For more than 32 years, OOORV has provided a safe, welcoming environment where individuals living with mental health and substance use challenges can find hope, support, education, and connection. Our peer-run organization is open seven days a week, including holidays, and is staffed by people in long-term recovery who use their lived experience to support others on their recovery journey.
The Grant Administrator will play a vital role in ensuring grant contracts and funds are managed responsibly, deadlines are met, and required documentation and reports are completed accurately and on time. This position works closely with the Executive Director, Program Manager and program staff to support the organization's continued growth and sustainability.
Essential Responsibilities
- Manage the administrative requirements of awarded grants.
- Monitor grant budgets and expenditures to ensure compliance with grant agreements.
- Track grant deadlines, reporting schedules, and required deliverables.
- Prepare and submit financial and program reports in collaboration with the Executive Director and Program Manager.
- Maintain organized grant files, including contracts, budgets, invoices, receipts, correspondence, and supporting documentation.
- Review grant agreements to ensure compliance with funding requirements.
- Assemble documentation needed for audits and financial reviews.
- Communicate, as needed, with the bookkeeper, administrative assistant and office manager to reconcile grant expenditures and maintain accurate financial records.
- Assist with grant applications by gathering organizational data, budgets, and supporting documents.
- Monitor grant performance measures and collect outcome data for reporting purposes.
- Develop and maintain grant tracking systems and reporting calendars.
- Ensure compliance with federal, state, local, and private foundation grant requirements.
- Communicate professionally with funding agencies and grant partners as needed.
- Perform other administrative duties related to grant management as assigned.
Qualifications
- Associate's or Bachelor's degree in business administration, accounting, nonprofit management, public administration, or a related field preferred; equivalent experience will be considered.
- Experience administering grants and contracts for nonprofit programs.
- Strong organizational and time-management skills with exceptional attention to detail.
- Ability to manage multiple deadlines simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word and Excel) and cloud-based document management systems if needed.
- Ability to maintain confidential financial and organizational information.
- Experience with nonprofit accounting systems or grant management software.

Working Conditions
- Part-time position with flexible scheduling.
- Primarily office-based with occasional attendance at meetings, organizational events, and staff development opportunities.
- Some periods of increased workload may occur around grant deadlines and reporting periods.

Pay: $25.00 per hour
