Wharton-Smith, Inc., a highly regarded General Contractor throughout the Southeast, is seeking qualified candidates for the position of Preconstruction Specialist. We are currently seeking someone who is willing to work in our corporate office in Sanford, FL.
GENERAL DESCRIPTION:
Supports the daily operations of the Preconstruction team through coordination and communication with Preconstruction management, estimators, subcontractors, and internal departments. The Preconstruction Specialist provides administrative and project support for bidding, subcontractor outreach, bid documentation, GMP bidding activities, and other preconstruction support functions.
This position works with attention to detail and increasing independence while supporting project deadlines, departmental processes, and the overall needs of the Preconstruction team.
RESPONSIBILITIES:
- Support bid preparation, including bid documents, bid schedules, addenda, and competitive bid submissions.
- Coordinate communication with subcontractors and suppliers regarding plans, specifications, bid requirements, and project information.
- Support iSqFt project setup, plan orders, subcontractor outreach, and project database maintenance.
- Assist with MWBE Good Faith Efforts outreach and documentation.
- Assist with bond and insurance requests and follow up on outstanding requirements.
- Support QA/QC activities for GMP bid packages and other preconstruction deliverables.
- Provide support for bid-day logistics and coordination with internal teams and offices.
- Maintain accurate project, subcontractor, and bidding information in departmental systems and databases.
- Communicate with internal and external contacts to obtain information, address outstanding items, and support project deadlines.
- Provide general administrative and coordination support to the Preconstruction team as needed.
QUALIFICATIONS:
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently and follow established processes and procedures.
- Strong written and verbal communication skills.
- Ability to build effective working relationships with subcontractors, suppliers, project teams, and internal departments.
- Proficiency with Microsoft Office and the ability to learn and effectively utilize Preconstruction and bidding software.
- Previous experience supporting construction, estimating, preconstruction, or a related function preferred.
