Position Overview
The Customer Service Office Support Coordinator plays a key role in ensuring the smooth and efficient operation of ETM Enterprises' daily office activities. This position is responsible for customer service, sales support, administrative coordination, and providing backup assistance for accounts payable and accounts receivable functions. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Essential Job Functions
Office Coordination
· Ensure the office operates smoothly and efficiently through effective administrative support.
· Perform general office duties including document management, filing, recordkeeping, and data entry.
· Maintain organized digital and paper filing systems.
· Coordinate office communications and administrative processes.
· Assist with scheduling appointments, meetings, and company events.
· Answer incoming calls and inquiries in a professional manner.
Customer & Sales Support
· Answer and manage incoming customer calls, emails, and inquiries professionally and promptly.
· Ownership of maintaining customer orders and schedules with our ERP system through EDI, purchase orders, and releases.
· Work with scheduling and materials to communicate dates to the customer, helping ensure on-time delivery of parts.
· Maintain accurate records of customer interactions and sales activities.
· Support sales-related administrative tasks and customer follow-up activities.
· Serve as a positive point of contact for customers.
Accounts Payable & Receivable
- Process invoices, payments, and vendor accounts (Accounts Payable)
- Generate invoices, track payments, and follow up on outstanding balances (Accounts Receivable)
- Maintain accurate financial records and assist with reconciliation
- Collaborate with accounting or finance team as required
Department Support
- Occasionally provide support to department leaders.
- Assist with preparation of reports, presentations, and internal communications
- Coordinate meetings and cross-departmental activities
- Act as a central point of contact for internal requests and communication
· To help the company by assisting where necessary to ensure the company’s profitable future
Education
· High school diploma required; associate or bachelor’s degree preferred
· 2+ years of administrative, office coordination, or customer service experience
· Experience with accounts payable/receivable preferred
· Experience with sales
· EDI experience preferred but not required
Skills
· Strong communication and interpersonal skills
· Proficiency in Microsoft Office (Word, Excel, Outlook)
· Excellent organizational skills and attention to detail
· Ability to multitask and prioritize effectively

Pay: $20.00 - $25.00 per hour
