Position Summary:
The Front Office Assistant Clerk serves as the first point of contact for visitors, staff, and students, providing exceptional customer service in a fast-paced school environment. This position supports daily school administration and operations, including supporting Front Office Lead Clerk with attendance tracking, and office record management. The Front Office Assistant Clerk is responsible for maintaining the volunteer management system with support from Front Office Lead Clerk.
Essential Responsibilities:
Front Office Operations
- Serve as the primary point of contact for visitors, students, and parents entering the school office.
- Answer phone calls and respond to inquiries in a professional manner.
- Direct visitors and phone calls to appropriate staff members.
- Provide general administrative support to school staff and administration.
Volunteer Management and Hours Tracking
- · Log volunteers/visitors in/out of the RAPTOR system daily, as needed.
- · Input volunteer hours in RAPTOR as needed.
- Maintain volunteer database within RAPTOR and update as needed.
- Notify volunteers of status and expiration date.
- Coordinate with teachers and staff to obtain event dates and list of volunteers as needed.
- Create batches and support distribution of volunteer badges.
Support with Attendance Management
- Support Lead Clerk input and maintenance of student attendance records daily, as needed.
Administrative Support
● Assist with maintaining student records and office documentation.
● Support office operations including filing, copying, and organizing records.
● Assist with preparation of reports, forms, and school correspondence when needed.
Communication & Collaboration
● Communicate effectively with students, parents, teachers, and staff.
● Maintain confidentiality of student and staff information.
● Work collaboratively with school administration and staff to support daily operations.
Additional Duties
● Assist with student supervision when needed.
● Assist with Clinic coverage and assisting students with minor injuries. Assist with other clinic tasks, including medication administration, as needed
● Support school activities, events, and administrative tasks.
● Assist in the protection of students and school property.
● Perform other duties as assigned by the Principal.
Knowledge and Skills:
● Strong organizational and time management skills.
● Strong communication and customer service skills.
● Ability to manage multiple tasks in a busy and heavily-trafficked office environment.
● Ability to maintain confidentiality of student and staff information.
● Proficiency with office software and student information systems.
Minimum Qualifications:
● High school diploma or equivalent required.
● Experience in office administration or clerical work preferred.
● Experience working in a school environment is preferred.
● Valid Florida Driver’s License.
Work Environment and Physical Requirements:
● Work is primarily performed in a school office environment.
● Requires extended periods of computer work, sitting, and interaction with students, staff, and visitors.
Pay: $17.00 per hour
