Position Overview:
Power World is seeking an experienced Powersports Service Writer / Service Advisor to join our service department. This role serves as the main point of contact between customers and the service team, ensuring that customer concerns are clearly understood, repair orders are accurately written, and service work moves efficiently through the shop.
The ideal candidate is organized, customer-focused, detail-oriented, and comfortable working in a fast-paced powersports environment. This person should have strong communication skills, a basic understanding of motorcycles, ATVs, UTVs, and snowmobiles, and the ability to build trust with customers while supporting technicians and department workflow.
Key Responsibilities:
Customer Service and Communication:
- Greet customers and serve as the primary point of contact for service-related needs.
- Listen carefully to customer concerns and gather accurate information regarding vehicle symptoms, service history, and requested repairs.
- Explain recommended repairs, maintenance, timelines, and costs clearly and professionally.
- Provide timely updates to customers throughout the repair process.
- Handle customer questions, concerns, and service issues with professionalism and follow-through.
- Educate customers on Power World’s products, services, maintenance recommendations, and available offers.
- Build long-term customer relationships through clear communication, honesty, and excellent service.
Repair Orders, Estimates and Scheduling:
- Prepare accurate repair orders by documenting customer concerns, symptoms, requested services, and technician findings.
- Develop estimates by calculating parts, materials, labor, shop supplies, deductibles, and applicable fees.
- Obtain customer approvals and signatures before work begins or additional repairs are performed.
- Enter and maintain repair orders in the dealership’s service database or DMS system.
- Schedule service appointments and help manage daily shop workflow.
- Coordinate job priorities with the Service Manager, technicians, parts department, and sales team.
- Verify warranty and service contract coverage when applicable.
- Assist with warranty claims, documentation, and customer communication as needed.
- Close repair orders, calculate final customer payments, and review completed work with customers at pickup.
Department Coordination:
- Communicate clearly with technicians to ensure customer concerns and repair expectations are understood.
- Work closely with the parts department to confirm parts availability, order status, and repair timelines.
- Help maintain an organized service counter, repair order process, and customer records.
- Support shop efficiency by tracking open repair orders and following up on pending approvals, parts, or customer responses.
- Assist with maintaining a professional, clean, and organized service department environment.
- Follow dealership procedures, safety standards, and service department policies.
Qualifications:
- Previous experience as a Service Writer, Service Advisor, Powersports Service Advisor, Automotive Service Advisor, or similar customer-facing service role preferred.
- Powersports, motorcycle, ATV, UTV, snowmobile, marine, or automotive industry experience strongly preferred.
- Strong customer service, communication, and problem-solving skills.
- Ability to explain technical information in a clear and approachable way.
- Highly organized with strong attention to detail and follow-through.
- Comfortable managing multiple priorities in a fast-paced environment.
- Basic mechanical knowledge or willingness to learn powersports service terminology and processes.
- Experience with service scheduling software or dealership management systems preferred; Lightspeed experience is a plus.
- Ability to work collaboratively with service technicians, parts staff, sales staff, and management.
- Valid driver’s license required.
