Position Summary
Advanced Dermatology of Alaska, LLC is seeking an experienced, highly organized, and proactive Office Manager to oversee the daily operations of our growing dermatology practice. This individual will serve as the operational leader of the clinic, ensuring efficient workflows, exceptional patient experiences, strong team performance, and consistent execution of practice goals.
The Office Manager will work closely with practice ownership and executive leadership to implement operational initiatives, optimize processes, manage support staff, and support the continued growth of the organization. This role is ideal for a healthcare operations professional who enjoys building systems, leading teams, and solving problems in a fast-paced environment.
The practice is actively expanding its provider base, services, and locations, creating opportunities for the Office Manager to play a key role in shaping the organization's future growth.
Core Responsibilities
Operations Management
- Oversee the daily operations of the practice, ensuring smooth and efficient clinic workflows.
- Monitor and optimize patient flow, scheduling efficiency, and resource utilization.
- Develop, document, and improve operational policies, procedures, and workflows.
- Identify operational bottlenecks and implement process improvements.
- Ensure compliance with practice policies, HIPAA requirements, and all regulatory standards.
Team Leadership
- Supervise administrative staff and coordinate operational oversight of clinical support staff.
- Assist with recruiting, onboarding, training, and performance management.
- Foster a positive, accountable, and patient-centered workplace culture across the organization.
- Conduct regular staff meetings and support employee development initiatives.
- Address operational and personnel issues in a timely and professional manner.
Practice Performance
- Monitor key operational metrics including patient volume, scheduling utilization, no-show rates, revenue cycle indicators, and patient satisfaction.
- Support implementation of performance improvement initiatives.
- Lead operational components of strategic growth projects and support leadership in practice planning initiatives.
- Coordinate and participate in the implementation of new service locations, providers, technologies, and business initiatives.
Financial and Administrative Oversight
- Manage office budgets, purchasing, inventory, and vendor relationships.
- Review operational expenses and identify opportunities for cost savings and operational efficiency.
- Support and monitor revenue cycle performance, including registration, insurance verification, collections, and related workflows.
- Ensure timely completion of administrative reporting requirements.
Patient Experience
- Promote exceptional customer service throughout the organization.
- Resolve patient concerns and service issues with care, compassion, and professionalism.
- Support initiatives designed to improve patient satisfaction and retention.
Qualifications
Required
- 3+ years of management or leadership experience in a healthcare setting.
- Bachelor's degree or higher in Healthcare Administration, Business Administration, Management, or a related field.
- Equivalent combinations of education and experience will be considered.
- Demonstrated experience supervising employees and managing day-to-day operations.
- Strong organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with electronic medical records and Microsoft Office applications.
- Demonstrated ability to build systems, improve processes, and lead organizational change.
Preferred
- Experience managing dermatology, specialty medical practices, or ambulatory healthcare operations.
- Experience with revenue cycle management and practice management systems.
- Experience implementing operational improvements and managing organizational growth.
- Experience with electronic health record and practice management platforms such as ModMed EMA, AthenaOne, eClinicalWorks, or similar systems.
