Payroll Specialist (Multi-State Payroll | Accounts Payable | Accounts Receivable)

We are seeking a highly motivated, full-time Payroll Specialist to support various departments at VMSI Headquarters in Sterling, VA. The ideal candidate will have excellent oral and written communication skills, be extremely organized, able to manage multiple tasks simultaneously, work independently, and can interact effectively with internal team members, clients, and vendors.

POSITION RESPONSIBILITIES:
Payroll Administration
- Serve as the Vice President/FSO’s primary support resource for managing priorities, coordinating tasks, and ensuring timely follow-through.
- Research, analyze, and resolve business operations issues of varying complexity; present findings and recommend practical solutions.
- Provides broad administrative and operational support to the corporate Operations department, ensuring efficient coordination of daily activities and departmental needs.
- Process weekly, bi-weekly, or semi-monthly multi-state payroll accurately and on schedule.
- Ensure compliance with all federal, state, and local payroll laws, wage and hour regulations, and tax requirements.
- Maintain payroll records, employee earnings, deductions, garnishments, benefits, and direct deposit information.
- Process new hires, terminations, salary changes, bonuses, commissions, and payroll adjustments.
- Reconcile payroll reports and ensure payroll-related general ledger entries are accurate.
- Prepare and submit payroll tax filings and coordinate with payroll vendors as necessary.
- Respond to employee payroll questions and resolve discrepancies in a timely manner.
- Support year-end processing, including W-2 preparation and payroll audits.
- Administers multi-state payroll tax accounts in coordination with HR Manager.
- Assists with tax planning, payments, and inquiries.
- Compiles data, tracks metrics and generates reports using a variety of data sources.
- Participate in other projects as requested by management.
Accounts Payable
- Process vendor invoices accurately and efficiently.
- Match invoices with purchase orders and receiving documentation.
- Prepare payment batches, ACH transactions, and check runs.
- Maintain vendor files and resolve invoice discrepancies.
- Reconcile vendor statements and assist with month-end closing activities.
Accounts Receivable
- Generate customer invoices and monitor outstanding receivables.
- Record customer payments and apply cash receipts accurately.
- Follow up on overdue invoices and maintain collection activities.
- Reconcile customer accounts and resolve billing discrepancies.
Required:
- 3-5 years’ progressive experience in a fast-paced small to medium sized business.
- Expertise in MS Office Suite of products.
- Excellent communicator with the ability to communicate effectively, written and spoken, with leadership and peers.
- Ability to work independently and collaboratively as a high-performing team member.
- Exercise independent judgment in the prioritization of tasks while assuming responsibility and accountability.
- Ability to spearhead multiple projects and support payroll, security, vendor contracts, etc. simultaneously.
- Desired experience/exposure in some or all: Finance (AP/AR), Business Operations, General Office Administration & Management.
Salary Range: The salary for this position is between $75,000 – $85,000 annually. Factors affecting pay within this range may include geography, skills, education, experience, and other qualifications of the successful candidate.
