Summary

The Department of Medicine, Section of Gastroenterology and Hepatology, is seeking an enthusiastic and reliable Coordinator, Business Operations to support the Texas Collaborative Center for Hepatocellular Cancer (TeCH). This position manages the day-to-day operations and coordinates activities across TeCH/DDC committees and cores. The coordinator serves as a key liaison among faculty, physicians, researchers, staff, community partners, vendors, public health stakeholders, and external collaborators, ensuring efficient program execution, regulatory compliance, and the achievement of the center’s strategic goals.

Job Duties

Provide administrative and operational support for TeCH and other federally funded research programs.
Manage administrative workflows for TeCH committees and cores, collaborating with Center leadership to support strategic goals and program objectives.
Schedule and coordinate meetings, working groups, and committees; prepare agendas, meeting materials, minutes, and action-item reports.
Organize virtual and in-person meetings, ensuring all logistical needs are addressed.
Process financial transactions, including purchase orders, vendor payments, reimbursements, expense reports, and honoraria.
Coordinate scientific events, including annual symposiums, research forums, workshops, and stakeholder meetings. Responsibilities include venue logistics, travel arrangements, catering, audiovisual support, speaker coordination, promotional materials, and onsite event management.
Develop presentations, educational resources, communications, newsletters, and other materials that support research, outreach, and program activities.
Track project milestones, grant deliverables, publications, funding activities, invoices, and reporting requirements.
Maintain grant records, databases, mailing lists, website content, and other program tracking systems.
Assist with grant documentation, progress reports, data summaries, and other reports for sponsors and leadership.
Support advocacy and policy initiatives through research, monitoring relevant legislation, and assisting with stakeholder communications.
Coordinate community outreach and public education activities, including awareness campaigns and dissemination of liver health resources.
Serve as a primary liaison among faculty, staff, physicians, vendors, community organizations, public health agencies, and external collaborators.
Perform other administrative and operational duties in support of TeCH and research center activities.
Perform other job-related duties as assigned.

Minimum Qualifications

High School diploma or GED.
Two years of relevant experience.

Preferred Qualifications

Four plus years of relevant experience.
Experience providing direct administrative support to physicians, physician leaders, or senior healthcare executives.
Advanced proficiency with Microsoft Outlook, including complex calendar management and meeting coordination.
Proficiency with Microsoft PowerPoint.
Strong working knowledge of Microsoft Excel.
Experience using Canva to create presentations, flyers, newsletters, or visual communications.
Demonstrated ability to manage multiple competing priorities in a fast-paced, high-volume environment.
Experience coordinating meetings, events, and communications.
Exceptional customer service skills with a professional, polished, and approachable demeanor.
Strong verbal and written communication skills.
Proven ability to work independently, anticipate needs, and exercise sound judgment with minimal supervision.
Positive attitude, strong interpersonal skills, and ability to build effective relationships across all levels of an organization.
Healthcare, academic medicine, or hospital administration experience preferred.
