Office & Project Administrative Specialist

We’re looking for an organized, personable, and proactive individual who takes pride in keeping things running smoothly. This person will support our owners, estimators, project managers, clients, and subcontractor partners while helping create a professional and welcoming experience for everyone who interacts with Camm.
This is not a position for someone who simply waits for the next task.
The right person notices what needs attention, follows through, learns quickly, and enjoys helping the entire team perform at a higher level.
What You’ll Do
You’ll play an important role in the daily organization and operation of the Camm office. Responsibilities will include:
- Serve as a welcoming and professional first point of contact for clients, subcontractors, vendors, and other visitors.
- Answer and direct incoming phone calls and emails promptly and professionally.
- Make outbound calls and send follow-up communications on behalf of the estimating and project teams.
- Help estimators request, track, and organize subcontractor bids and project information.
- Enter, update, and maintain project data within company systems.
- Assist project managers with documentation, reports, communication, and administrative follow-through.
- Support billing, invoice processing, recordkeeping, and other routine financial administration.
- Prepare and organize reports, spreadsheets, meeting materials, and internal documents.
- Maintain accurate digital and physical filing systems.
- Help keep the office, shared spaces, supplies, and daily workflow organized.
- Coordinate calendars, meetings, deliveries, and other office needs.
- Provide administrative support to company owners and team members.
- Learn new systems and look for practical ways to improve organization and efficiency.
- Follow up on open items and help make sure important details do not fall through the cracks.

Commercial construction experience is helpful, but it is not required.
We can teach our construction processes and systems. We are primarily looking for someone with strong organizational habits, excellent follow-through, a willingness to learn, and a genuine commitment to supporting the team.
Qualifications
- Previous administrative, office support, customer service, or project coordination experience preferred.
- Strong written and verbal communication skills.
- Comfortable working with email, spreadsheets, shared documents, data-entry systems, and standard office technology.
- Ability to learn construction and project-management software.
- Basic understanding of billing, invoices, or bookkeeping processes is helpful.
- Ability to work independently while remaining closely connected to the larger team.
- High school diploma or equivalent required; additional education or relevant training is helpful but not required.
