Job Overview
We are seeking a dynamic and detail-oriented Commercial Real Estate Assistant Property Manager (APM) to join our vibrant property management team. In this role, you will support the Property Manager(s) in all aspects of managing assigned commercial properties. This role assists with property operations, maintenance coordination, tenant relations, financial reporting, budgeting, lease administration, contract preparation, insurance compliance, and accounts receivable/payable functions. The APM must possess excellent verbal and written communication skills, strong organizational abilities, and the capacity to effectively manage multiple priorities in a fast-paced environment.
Commercial Real Estate Experience Preferred.
Essential Duties and Responsibilities
- Assist Property Manager(s) in overseeing the day-to-day operations of a portfolio of office, industrial, and/or retail properties.
- Serve as a primary point of contact for tenants, ensuring timely responses to service requests and maintaining a high level of tenant satisfaction.
- Address tenant inquiries related to maintenance issues, building services, and lease-related matters.
- Support lease administration activities, including abstracting lease documents, maintaining critical lease dates, and preparing tenant correspondence.
- Coordinate and monitor vendor services, including janitorial, landscaping, HVAC, security, and general maintenance contractors, to ensure compliance with contract requirements and quality standards.
- Conduct routine property inspections and assist with preventive maintenance programs to ensure property cleanliness, safety, and operational efficiency. Report findings and recommendations to the Property Manager.
- Assist with tenant onboarding, move-ins, move-outs, and space preparation activities.
- Receive and process work order requests, coordinating with building engineers, maintenance staff, and third-party vendors as appropriate.
- Maintain organized property records, files, and documentation, including vendor contracts and tenant contact information.
- Ensure all tenant and vendor Certificates of Insurance (COIs) are current and compliant with lease requirements and company policies.
- Follow established accounts receivable procedures, including monitoring rent collections, communicating with tenants regarding outstanding balances, and assisting the Property Manager with late notices, demand letters, lockouts, and fee assessments when necessary.
- Assist in preparing monthly management reports and financial packages in accordance with ownership requirements.
- Support the development, review, and implementation of annual operating and capital budgets, as well as operating expense reconciliations.
- Maintain a working knowledge of lease structures and provisions to support lease compliance and tenant obligations.
- Answer and direct incoming telephone calls, assist visitors, and provide general administrative support.
- Perform additional duties and special projects as assigned by management.
Qualifications

- Strong customer service and relationship-building skills.
- Proficiency in Microsoft Office Suite; experience with commercial property management software preferred.
- Knowledge of commercial property management principles, lease administration, and basic accounting practices preferred.
- Ability to manage multiple tasks efficiently through data entry, filing, and record-keeping while maintaining attention to detail
