With a strong track record and a reputation for excellence, we are seeking an experienced Office Administrative Assistant to help streamline our operations and keep our business running smoothly
Position Overview:
Office Administrative Assistant will play an important role in ensuring daily operations of our busy office run efficiently. This position requires prior experience in managing the administrative aspects of the construction company including payroll, accounts receivable, and office coordination. The ideal candidate will be organized, tech-savvy, and able to handle the complexities that come with managing the back office of a growing commercial construction company.
Key responsibilities:
Office operations: Oversee and manage day-to- day operations of the office, ensuring everything runs smoothly and efficiently. Coordinate schedules, handle correspondence, and provide support to senior management.
Project documentation: Maintain and organize project- related files, contracts, permits, Insurances and other important documents. Ensure all records are accurate and accessible for the project team.
Communication: Act as the primary point of contact for clients, vendors, suppliers & subcontractors, ensuring smooth communication across all parties. Provide support to project managers as needed
Office Support: Provide general support to the team, including organizing meetings, preparing reports, and ensuring the office is fully stocked with necessary supplies
Tech proficiency: Able to use Standard office tools (Excel, MS word, Outlook), Adobe Acrobat.
Qualifications:
- High School Diploma and minimum 1 year of relevant experience.
- Required proven experience in office administrative management for a commercial construction company.
- Understanding of construction operations, project management and timelines.
- Exceptional organizational, multitasking and time management skills.
- Proficient in Microsoft Office tools.
- Strong communication skills, both written and verbal.
- Detail oriented with problem solving skills.
- Ability to work independently as well as part of a team.
