Overview
We are a commercial mechanical and plumbing contractor seeking a versatile and highly organized individual to join our team as an Administrative Assistant and Accounting Assistant. This role ensures the smooth operation of daily office activities, providing exceptional support to staff and clients alike. In this role you will manage a variety of administrative tasks, coordinate schedules, manage the company's fleet of vehicles as well as assist with invoicing and payroll. This position will directly assist the General Manager/Accounting Controller.
Admin Assistant Responsibilities
- Coordinate and communicate daily work schedule to field staff
- Handle incoming calls, directing inquiries and taking detailed messages
- Schedule company vehicles for service and maintain fleet records
- Manage company calendar and coordinate events
- Order office supplies and track office inventory
- Accept and log deliveries of material
- Onboard new field staff
- Provide support to Controller and project management team
Accounting Assistant Responsibilities
- Invoice and credit card receipt coding, research, and entry
- Check printing and distribution
- Maintenance of files and reports
- Monitor daily field timecard activity and research missing entries
- Enter timecard data in QuickBooks weekly
Required Skills
- Strong organization skills with attention to detail and the ability to multitask
- Proficiency in Adobe Acrobat (sign, edit, and create PDFs), Microsoft Excel, and Microsoft Word
- Excellent written and verbal communication skills
- Experience with office management, clerical tasks, and administrative procedures
- Light familiarity with accounting systems and best practices
- Willingness and ability to learn
Preferred Skills
- Knowledge of bookkeeping software such as QuickBooks
- Familiarity with construction terminology and construction software such as Procore
- Experience assisting with payroll and human resources
The candidate will be trained and prepared for the position to grow into full Accounts Payable and full Payroll/HR Assistant role and be the accounting and document management support to the Controller.
Must have a valid driver’s license and clean driving record to drive fleet vehicles to shop for maintenance if needed.
