Job Summary
We are seeking a dynamic and highly organized Oral Surgery Administrative Assistant and Professional Relations Coordinator to join our dedicated team. In this vital role, you will serve as the first point of contact for patients and external partners, ensuring smooth administrative operations within our oral surgery practice. Additionally, you will foster and strengthen professional relationships with referring providers, manage key accounts, and support sales initiatives to promote our advanced surgical services. Your energetic approach, combined with excellent communication skills and a proactive mindset, will drive operational excellence and enhance our reputation in the dental and medical community.
Responsibilities
- Provide exceptional administrative support by scheduling appointments, managing patient records, and processing billing with precision and efficiency.
- Coordinate with patients, staff, and external providers to ensure seamless communication and service delivery.
- Build and maintain strong relationships with referring dentists, specialists, and healthcare organizations through regular outreach, follow-ups, and professional engagement.
- Assist in developing and executing strategies to grow professional partnerships, including conducting product demonstrations of surgical equipment or related technologies.
- Support sales efforts by identifying new opportunities within existing accounts and assisting with territory management activities.
- Utilize CRM (Customer Relationship Management) systems to track interactions, update client information, and analyze sales data for continuous improvement.
- Organize meetings, prepare presentations using Microsoft PowerPoint or Word, and document key discussions to facilitate effective decision-making.
- Collaborate with the team to meet or exceed sales goals by actively participating in outreach campaigns, product demos, and client communication initiatives.
Requirements
- Proven experience in account management or outside sales within the medical or dental field; experience in scientific or medical equipment technical sales is highly desirable.
- Strong negotiation skills combined with excellent customer relationship building abilities.
- Demonstrated success in B2B (business-to-business) sales environments with a focus on product demos and deal closing.
- Proficiency in Microsoft Office Suite (Word, PowerPoint) along with CRM system platforms for managing client data effectively.
- Exceptional organizational skills to handle multiple priorities efficiently while maintaining attention to detail.
- Excellent communication skills—both verbal and written—to foster trustful relationships with clients and internal teams.
- Knowledge of pharmaceutical or medical sales practices is a plus; familiarity with enterprise selling strategies is advantageous.
- Ability to work independently in outside sales settings while demonstrating leadership qualities that inspire team collaboration.
- A proactive attitude towards meeting or exceeding sales targets through strategic territory management and analysis skills.
