The Police Reporting Coordinator is responsible for managing jurisdictional reporting requirements and ensuring accurate, timely documentation across all Heartland Roadshow events nationwide.
This is a systems-heavy, detail-driven role that requires working across multiple platforms daily to track reporting requirements, maintain accurate records, and ensure all information is complete and up to date.
The ideal candidate is highly organized, comfortable navigating multiple systems, and takes full ownership of their work, especially when dealing with incomplete or time-sensitive information.
Research and confirm reporting requirements across jurisdictions
Document reporting rules, timelines, and holding periods with accuracy
Maintain and update records across multiple systems
Track reporting requirements and ensure deadlines are met
Communicate requirements clearly to internal teams
Follow up with external contacts to confirm or clarify information
Monitor changes in reporting rules and update documentation accordingly
Resolve issues when reporting requirements are unclear or delayed
Ensure all work is accurate, complete, and properly documented
Flag risks or gaps that could impact operations
Strong attention to detail with the ability to maintain accuracy across high-volume work
Proficiency in Excel or Google Sheets for tracking and organizing information
Comfortable working across multiple systems simultaneously throughout the day
Strong problem-solving skills when dealing with unclear or incomplete information
High level of ownership and follow-through from start to finish
Ability to manage multiple tasks and deadlines at once
Clear written and verbal communication skills
Ability to work independently in a remote environment
Proficiency in Excel or Google Sheets (required for daily tracking and documentation)
Experience working across multiple systems in a single workflow, such as:
Project management tools (e.g., Monday.com or similar)
CRM systems (e.g., Salesforce or similar)
Online reporting or regulatory platforms (e.g., Leads Online, CAPPS, or similar)
Google Workspace (Docs, Sheets, Drive, etc.)
Ability to quickly learn and navigate new systems
Comfortable managing work that requires constant system updates and cross-referencing information
