SpecialEyes Pediatric & Special Needs Vision Clinic is looking for a compassionate, organized, and energetic Front Desk Patient Coordinator to join our team.
This is much more than a receptionist position. Our front office team is the heart of the patient experience, helping children, parents, caregivers, and individuals with special needs feel comfortable from the moment they walk through our doors.

SpecialEyes Pediatric & Special Needs Vision Clinic is an independently owned specialty optometric practice dedicated to providing personalized eye care for infants, children, teens, and individuals with special needs. We are part of a family of locally owned practices that also includes New Bern Family Eye Care, Creekside Family Eye Care, and Pamlico Family Eye Care.

What You'll Do
As our Front Desk Patient Coordinator, you'll help ensure every patient visit runs smoothly from check-in through check-out.
Responsibilities include:
Welcome patients and families with a friendly, professional attitude.
Check patients in and out while maintaining efficient patient flow.
Collect and verify patient information, insurance, and required consent forms.
Discuss expected patient financial responsibilities and collect payments.
Schedule appointments and assist with appointment changes and rescheduling.
Confirm upcoming appointments through phone calls, text messages, and email communications.
Help fill schedule openings to maximize provider availability.
Prepare charts and documentation for upcoming appointments.
Scan and upload medical records, referral documentation, and patient forms into the electronic medical record.
Coordinate referrals and communicate with primary care providers and outside specialists.
Assist with eyeglass pickup coordination and communication with our optical department.
Process work and school excuse notes.
Maintain accurate patient records and daily office documentation.
Prepare daily schedules and assist with office workflow.
Balance the cash drawer and prepare daily deposits.
Communicate effectively with doctors, technicians, optical staff, and other healthcare providers.
Jump in wherever needed to support the team and provide outstanding patient care.

Preferred Qualifications
Previous experience in a medical, dental, optical, or healthcare office is preferred.
Customer service experience is required.
Experience with insurance verification, scheduling, or electronic medical records is a plus.
Experience working with pediatric patients or individuals with special needs is beneficial but not required. We are happy to train the right person who has the right attitude and compassion.
