Position Summary:
We're seeking an exceptionally organized, analytical, and detail-oriented Pricing & Proposal Specialist to oversee pricing and proposals within Pioneer Golf.
This role is responsible for ensuring the accuracy, efficiency, and overall quality of every client proposal and trip pricing produced by our Pricing & Proposals team. You'll manage the daily workflow of three overseas contractors, review complex proposals, answer pricing questions, maintain our vendor pricing database, and continuously improve the systems and processes that keep our proposals accurate and competitive.
You'll also play an important role in repricing client trips when itineraries change, maintaining proposal templates and content, gathering annual vendor pricing, and ensuring our pricing information remains current throughout the year.

Who is Pioneer Golf?
- A well-established, Scottish-owned golf travel company in Austin, TX (located at Bee Cave Rd & Loop 360) that organizes golf trips for its mostly American and Canadian customers. Our clients are groups of friends or fellow country club members that are headed abroad on a golf trip.
- One of the two largest golf tour operators servicing Scotland. Scotland is the #1 destination worldwide for the traveling golfer. The third or fourth largest golf tour operator servicing Ireland/Northern Ireland (the #2 destinations worldwide).
- An official distributor of tee times for the St Andrews Old Course, arguably the most famous golf course in the world and certainly the oldest.
- Current focus is Scotland and Ireland but expanding destination offerings and looking forward to growing significantly over the next few years.
- Currently, we are a team of less than 30 individuals.
- The company is well-poised to grow significantly, and we are in the process of building a great team. Revenues have doubled this past year and a half. Golf and travel are booming post-pandemic.
Responsibilities:
- Manage the day-to-day workflow of our Pricing & Proposals department, including three overseas contractors.
- Review and approve complex trip pricing and client proposals for accuracy, consistency, and quality.
- Serve as the primary resource for pricing questions and proposal guidance for the team.
- Reprice client trips when itinerary changes impact costs.
- Maintain and continually improve proposal templates, pricing tools, and standard content.
- Manage and maintain our vendor pricing database, ensuring rates remain accurate and current.
- Review updated pricing from golf courses, hotels, transportation providers, and other vendors each year.
- Identify opportunities to improve pricing workflows, proposal quality, and operational efficiency.
- Support the operations team by reviewing travel documents and trip documentation for accuracy as needed.
- Document and maintain department processes and standard operating procedures.
- Train, coach, and develop members of the Pricing & Proposals team.
- Audit virtual assistant work time and output using tracking software.
- Participate in emergency phone coverage approximately 2–3 weeks per year.
Qualifications:
Required
- 3+ years of experience in an operations, pricing, project coordination, finance, proposal, travel, or similar analytical role.
- Exceptional attention to detail and commitment to accuracy.
- Strong analytical and problem-solving abilities.
- Advanced Google Sheets or Microsoft Excel skills.
- Comfortable working with large amounts of numerical data and pricing calculations.
- Outstanding organizational and time-management skills.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to train, support, and coordinate the work of others.
- Process-oriented mindset with a desire to improve efficiency and consistency.
Preferred
- Experience reviewing complex pricing data.
- Experience managing or coordinating remote team members.
- Experience maintaining databases or pricing systems.
- Travel industry or hospitality experience.
- Experience writing or improving Standard Operating Procedures (SOPs).

- Optional off-season schedule (October–March): Work longer hours Monday through Thursday in exchange for every other Friday off, or a half-day every other Friday.
