Job Summary
We are seeking an energetic and organized Receptionist / Appointment Scheduler to join our dynamic team. This vital role serves as the first point of contact for residents and visitors, ensuring a welcoming and professional environment. You will manage incoming calls, coordinate appointments, schedule transportation and handle administrative tasks with efficiency and a friendly attitude. Your proactive approach will help streamline office operations, support customer service excellence, and contribute to a positive experience for everyone who walks through our doors.
Duties
- Greet visitors warmly and professionally, creating a positive first impression.
- Answer multi-line phone systems promptly, directing calls accurately to the appropriate departments or personnel.
- Schedule, confirm, and reschedule appointments using calendar management tools and software.
- Maintain organized files, records, and data entry logs to ensure smooth office operations.
- Support the Business Office Department with completing assigned tasks.
- Support office management by handling basic bookkeeping tasks using QuickBooks or similar software.
- Provide exceptional customer support by addressing inquiries efficiently and courteously, both in person and over the phone.
Skills
- Proven experience in front desk operations, office management, or administrative support.
- Ability to multitask in a fast-paced environment while maintaining attention to detail.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Bilingual abilities are highly desirable to assist a diverse client base.
- Exceptional phone etiquette and communication skills for handling multi-line phone systems confidently.
- Experience with data entry, filing systems, proofreading documents, and general clerical duties.
- Familiarity with scheduling appointments and transportation a plus but not required.
