Duties
- Respond promptly and courteously to customer inquiries via multi-line phone systems, email, and live chat channels
- Manage front desk operations, including greeting visitors, handling incoming calls, and directing them efficiently
- Maintain accurate records through data entry, filing, and updating customer information using EHR
- Assist with office management tasks such as calendar management, appointment scheduling, and document proofreading
- Support administrative functions including bookkeeping, filing, and organizing office supplies
- Provide exceptional customer support by resolving issues promptly and professionally while maintaining excellent phone etiquette
- Collaborate with team members to ensure smooth office operations and uphold high standards of service quality
Experience
- Previous health care office experience or clerical experience demonstrating strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
- Experience handling multi-line phone systems and providing customer support in a fast-paced environment
- Familiarity with medical receptionist duties or personal assistant experience is advantageous
- Strong time management skills with the ability to prioritize tasks efficiently and maintain professionalism under pressure
