As the Operations Manager, you will oversee daily administrative functions, foster team development, and ensure adherence to healthcare regulations, all while promoting a positive and productive workplace culture. Responsibilities
- Oversee daily clinic operations, ensuring smooth coordination between clinical staff, administrative teams, and external partners.
- Manage fiscal responsibilities including budgeting, financial management, and resource allocation to optimize operational efficiency.
- Supervise staff recruitment, training, performance evaluations, and human resources functions to build a motivated and competent team.
- Maintain compliance with healthcare regulations such as HIPAA, JCAHO standards, and state-specific health policies.
- Utilize EMR (Electronic Medical Records) systems like eClinicalWorks, Epic, Dentrix, and Eaglesoft for accurate medical records management and reporting.
- Coordinate medical office management tasks including appointment scheduling, billing processes, insurance claims, and medical administrative support.
- Ensure clinic meets quality standards for medical management, acute care protocols, and behavioral health practices.
- Implement office management best practices to streamline workflows and improve patient/client experiences.
- Monitor clinic performance metrics and utilize data analytics to inform strategic decisions.
- Foster a collaborative environment by managing teams as a healthcare practice manager and promoting continuous improvement initiatives.
Experience
- Proven supervisory experience in a healthcare or medical office setting with strong leadership skills.
- Extensive medical office experience with familiarity in managing electronic health records (EHR) systems such as Epic or eClinicalWorks.
- Strong background in fiscal management including budgeting, financial planning, and resource optimization within healthcare facilities.
- Knowledge of healthcare regulations including HIPAA compliance, JCAHO standards, managed care policies, and health regulation policies.
- Experience managing multidisciplinary teams in clinics specializing in behavioral health or similar fields such as nursing or dental offices is highly desirable.
- Familiarity with medical terminology, medical records management, and clinical workflows in acute or hospital care settings.
- Demonstrated ability to lead process improvements using tools like EMR/EHR systems to enhance operational efficiency.
- Excellent communication skills with the ability to coordinate across departments and ensure team alignment on organizational goals.
