Title: Facilities Associate, Temp with potential for permanent conversion

JOB DESCRIPTION
Reporting to the Director of Facility & Security and Purchasing Manager, under close supervision the Facilities Associate will be responsible for general administrative duties including but not limited to:

Issue P.O and process invoices, keeping vendors’ accounts payment current, placing orders and obtaining quotes for all entities including but not limited to JIB and Electchester facilities.

Contact vendors to obtain product and service information, cost and any discrepancies. W-9 and credits

Comply with various departments on any issues with office equipment’s by facilitating service calls for any issue and follow through until the issue is resolved

Assist in reporting facility-related issues such as telephone problems, lighting outages, spills, other maintenance concerns

Work with the Facilities and Purchasing Coordinator in executing various JIB events throughout the year

Must be able to manage a high volume of data entry

Actively participate in cross-training initiatives to develop a comprehensive understanding of office operations and ensure seamless coverage during absences of the supervisors in the Facilities/Purchasing Department

Handle the seasonal Camp Integrity purchase orders, supplies and any additional items required for the Camp to run successfully

May perform other duties and special assignments as assigned by your supervisor.

This job operates in a professional office - a customer service environment. This role routinely uses standard office equipment such as desktop computers, phone, headset, scanner, printer, keyboard, photocopiers, shredder, and fax.
Physical Demands:
Sedentary work environment with physical demands described are representative of those that must be met by an employee to successfully perform the functions of this job. This would require the ability to lift files, pull files/forms/books, stand, bending, shred documents, using computer/keyboard/typing, phone use, open/close filing cabinets as necessary.
Position Type/Expected Hours of Work:
This is a Temporary, non-exempt position. Days and hours of work are Monday through Friday, 8:30 AM to 4:30 PM.
Flexibility: Must be able to work overtime when necessary.
Travel:
No travel is expected for this position.
Required Experience, Skills, and Qualifications

Associate degree or equivalent, preferred.

Must have relevant experience in purchasing and inventory.

Excellent interpersonal skills, communicating frequently and effectively.

Able to work independently on assigned activities or as part of a structured team as required.

Demonstrated calculating skills.
-
Advance skills in Microsoft Office, Word, Excel, and Access.

Excellent customer service skills.

Must be able to multi-task.

Experience in using purchasing system preferred.

Must possess a minimum of two years of solid experience in purchasing, facilities, billing, and administration.
