Executive Assistant to the CEO — Med Spa & Consulting (In Person, Sandy, UT)
Type: Full-time, in person | Schedule: Mon–Fri, day shift (some flexibility)
Pay: $17–$24/hr DOE + performance bonuses after full onboarding
The Role In One Sentence:
You are the force multiplier for a CEO running two growing businesses. Your job is to keep me moving, keep the companies moving, and keep the clinic running like a five-star experience.
About me: I run TruSolace Med Spa (medical aesthetics clinic) and Spa Accelerator (consulting for med spa owners). I need one person who can own the details so I can stay in strategy.
If you need a to-do list handed to you every morning, this won’t work. If you’re the person everyone calls when things need to actually get done, keep reading.
What You’ll Own
1. Executive Support to the CEO (~30%)
- Own my calendar, inbox, meetings, and daily priorities. You protect my time.
- Track projects across both companies and close loops before I ask.
- Manage vendors and contractors (marketing, design, dev, ads, etc.): you follow up, hold deadlines, and report back.
- Draft and polish presentations, proposals, reports, and contracts.
- Handle confidential financial, business, and patient information with absolute discretion.
- Research options and come back with a recommendation, not just links.
2. Med Spa Operations Support (~50%)
- Support scheduling, patient flow, and team coordination at TruSolace.
- Manage vendors, ordering, and inventory so we never run out of key supplies.
- Track leads, referrals, and sales performance; flag trends and issues early.
- Help build onboarding checklists, SOPs, and training materials.
- Be a calm, professional presence in a premium clinic environment.
3. Marketing & Social (~15%)
- Post and schedule content for both brands across social platforms.
- Capture in-clinic content (photos, short videos, appropriate before/afters).
- Coordinate with marketing contractors on campaigns, email, and promos.
- Assist with client follow-up and CRM automation (GoHighLevel a plus).
- Help coordinate Spa Accelerator webinars, workshops, and client events.
4. Personal & Family Support (~5%)
- A few school pickups per week and occasional personal errands or appointments that free me to work.
- Mileage reimbursed. If this is a dealbreaker, please don’t apply.
What Success Looks Like
- By Day 30: You understand our systems, vendors, and team. Nothing on my calendar surprises either of us.
- By Day 90: You’re driving follow-up with contractors and staff. I stop tracking details because you already are.
- By Day 180: You fully own whole categories of work. I’m focused on strategy, not chasing tasks.
Who You Are
- You close loops. Stuff doesn’t die in your inbox.
- You bring order to chaos and naturally build systems.
- You’re proactive and see problems days before they become fires.
- You are discreet and trustworthy with sensitive information.
- You’re tech-comfortable (CRM, spreadsheets, project tools, social scheduling, AI tools).
- You communicate clearly and professionally with everyone.
- You genuinely like health, wellness, and aesthetics.
Requirements
- 3+ years in EA, business operations, office management, or project management.
- Valid driver’s license, reliable vehicle, clean driving record, current auto insurance.
- Comfortable with a background check.
- Able to work in person in Sandy, UT.
- Med spa / aesthetics / healthcare / wellness / consulting experience is a strong plus.
Compensation & Growth
- $17–$24/hr depending on experience.
- Performance-based bonuses after full onboarding, tied to real outcomes.
