Position Overview
We are seeking a reliable, organized, and personable Personal Assistant to provide day-to-day support for an older family member. This role focuses on managing daily logistics, appointments, errands, and household administrative tasks to ensure a smooth, stress-free routine.
The Personal Assistant will be employed and managed by the family's Executive Assistant, who will oversee hiring, scheduling, payroll, performance, and overall employment matters. While the Executive Assistant will serve as the primary manager, the Personal Assistant will work directly with the family member daily, completing tasks and requests as they arise. Regular communication with both the Executive Assistant and the family member is essential to ensure priorities are met and information is shared appropriately.
Responsibilities
- Coordinate and manage personal appointments, including medical, personal care, and service providers
- Assist with calendar management and scheduling
- Run local errands, including pharmacy visits, and other miscellaneous tasks
- Pick up, organize, and distribute mail and packages
- Assist with basic paperwork and document organization
- Coordinate with household vendors and service providers as directed
- Provide transportation to appointments and errands, as needed
- Help manage personal to-do lists and follow up on outstanding items
- Carry out day-to-day requests and tasks assigned directly by the family principal
- Keep the Executive Assistant informed of completed tasks, scheduling updates, and any issues requiring attention
- Perform additional administrative and personal support duties as needed
Qualifications
- Previous experience as a Personal Assistant, Executive Assistant, Concierge, or similar support role preferred
- Excellent organizational and time management skills
- Strong communication and interpersonal abilities
- Professional, patient, and compassionate demeanor
- Ability to work independently and manage multiple priorities
- High level of discretion and respect for privacy and confidentiality
- Valid driver's license and reliable transportation
- Comfortable using smartphones, email, calendars, and basic computer applications
