Description:
The Admissions Compliance Specialist conducts audits and reviews application records, residency documentation, and document imaging processes. This position ensures accuracy of OCR-processed documents, indexing, and electronic file organization. The Specialist researches complex application and processing questions escalated by front-facing staff and maintains working knowledge of transfer credit processes to support proper document routing and review. While the role is primarily operational, limited direct interaction with students may occur when detailed clarification regarding records or residency status is required.
Duties:
- Oversees document imaging and Smart Panda processing. Audits Smart Panda OCR outputs and document indexing for accuracy. Validates document recognition, categorization, and imaging workflows. Identifies recurring processing errors and recommends workflow improvements. Coordinates resolutions of document processing issues with appropriate technical or operational staff.
- Reviews residency documentation for alignment with Texas residency guidelines. Researches and prepares residency cases to conduct residency reclassification reviews and documentation validation. Identifies inconsistencies or compliance concerns related to residency determination. Maintains documentation standards supporting audit readiness and policy compliance. Develops internal reference materials and guidance for recurring processing issues.
- Conducts advanced reviews and audits of admissions documentation. Reviews downloaded and submitted document files and ensures proper organization and classification within institutional systems. Monitors records for discrepancies or missing documentation and recommends corrective actions. Assists in maintaining accurate electronic student records in accordance with institutional procedures.
- Provides second-level assistance to students when cases require detailed application record or residency review. Serves as subject matter expert for admissions processing and residency-related questions from Front Desk Welcome Center and Recruitment staff and student employees and performs other related duties as assigned.
Required Qualifications:
- High School diploma or GED
- At least two years of experience in and an understanding of the Texas residency regulations for tuition classification.
Preferred Qualifications:
- At least one year of experience and knowledge in admissions processing practices and student record management.
Knowledge, Skills and Abilities:
- Excellent written and oral communication skills.
- Proficiency with student information systems (e.g., PeopleSoft) and a document imaging system.
- Must have a working knowledge of Microsoft Word and Excel.
- Must be able to handle multiple competing priorities.
- Must be a self-starter and detail-oriented.
- Must be able to work independently with little supervision.
