About the Role
We are seeking a highly organized, detail-oriented, and reliable Real Estate Administrative Coordinator to support the day-to-day operations of our growing real estate business. This role is ideal for someone with previous experience working alongside real estate agents, brokers, or property investors who thrives in a fast-paced environment and enjoys keeping every administrative process running smoothly.
You will play a key role behind the scenes by managing transactions, coordinating with brokers, handling bookkeeping-related tasks, organizing banking activities, communicating with suppliers, and ensuring that projects stay on schedule.
Responsibilities
- Assign incoming transactions and expenses to the correct properties and prepare records for bookkeeping.
- Coordinate with brokers throughout the purchase and sale of residential and commercial properties.
- Manage daily e-banking activities, including payment processing, payment allocation, and reconciliation.
- Organize, maintain, and update administrative records and documentation.
- Request, compare, and negotiate quotes from vendors and service providers.
- Coordinate closely with suppliers to ensure materials and orders are delivered on time.
- Track outstanding tasks and follow up with vendors, contractors, brokers, and other partners.
- Maintain accurate files, contracts, invoices, and transaction records.
- Support management with general office administration and operational coordination.
Qualifications
- Previous administrative experience in the real estate industry is strongly preferred.
- Experience working with real estate brokers, property transactions, or real estate offices.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Comfortable managing multiple priorities while meeting deadlines.
- Experience with bookkeeping support, invoicing, or accounting processes is an advantage.
- Proficient with Microsoft Office and common office software.
- Experience with online banking platforms and document management systems is a plus.
- Professional, dependable, and able to work independently.
