Position Overview
The Patient Coordinator is the heartbeat of our front office. You are the first voice a patient hears when they call and the first face they see when they arrive. Your role is far more than answering phones and scheduling appointments — you are a brand ambassador, a patient advocate, and a key driver of the practice's growth and reputation. The ideal candidate is warm, organized, professionally polished, and genuinely passionate about helping people feel comfortable and cared for from the moment they make first contact with our office.
Key Responsibilities
Patient Experience & Communication
- Greet every patient with a genuine, warm welcome — in person and over the phone
- Create a first impression that reflects the standard of care our patients can expect from our entire team
- Answer incoming calls promptly, professionally, and with enthusiasm
- Respond to patient inquiries via phone, email, and text in a timely and courteous manner
- Ensure every patient feels heard, valued, and at ease throughout their visit
- Manage and resolve patient concerns with empathy, professionalism, and sound judgment
- Follow up with patients after treatment to check on their experience and comfort
Scheduling & Practice Coordination
- Schedule, confirm, and manage patient appointments across multiple providers and specialties
- Maintain a full and productive schedule by proactively filling cancellations and last-minute openings
- Coordinate referrals between in-house specialties and outside providers as needed
- Manage recall and reappointment systems to keep the patient base active and engaged
- Monitor the daily schedule for efficiency and communicate any changes to the clinical team
Financial & Insurance Coordination
- Verify insurance benefits accurately and thoroughly prior to appointments
- Present treatment plans and financial options clearly and confidently
- Discuss payment arrangements, financing options, and co-pays with transparency and sensitivity
- Collect and post patient payments at the time of service
- Submit insurance claims and follow up on outstanding balances
- Coordinate with billing team on accounts receivable when needed
Administrative Duties
- Maintain accurate and up-to-date patient records in the practice management system
- Process new patient paperwork and registration efficiently
- Manage and maintain a clean, organized, and welcoming front desk and reception area
- Handle incoming and outgoing correspondence, referral letters, and documentation
- Assist with end-of-day reporting, reconciliation, and office close-out procedures
- Support the team with any additional administrative tasks as needed
What We Are Looking For
Experience & Skills
- Minimum 1 years of experience in a dental or medical front office setting strongly preferred
- Familiarity with dental practice management software (Eaglesoft, Dentrix, or similar)
- Working knowledge of dental insurance, billing, and benefit verification
- Proficiency in Microsoft Office and general computer skills
- Bilingual in English and Spanish strongly preferred
