The Role
We are seeking an experienced and self-directed Accounts Receivable (AR) Billing Specialist to manage the lifecycle of customer invoicing across both our engineering and construction companies. In this critical role, you will ensure the steady flow of cash into the businesses by translating complex job-site milestones into legally compliant payment applications.
You will manage project-based invoices, progress payments, and contract compliance. We are looking to fill this role promptly to allow for a robust cross-training and knowledge-transfer period.
Key Responsibilities
● Invoice Generation: Prepare and process high volumes of customer invoices for both companies, including standard, progress, and contract-specific billing.
● AIA Billing: Submit monthly client invoices using standard AIA G702 (Application for Payment) and AIA G703 (Continuation Sheet) forms based on the project’s Schedule of Values (SOV).
● Retainage & Milestone Tracking: Calculate and manage retainage holdbacks (typically 5% to 10%), adjusting final invoices accurately as milestones are reached and projects close out.
● Change Order Processing: Review, reconcile, and seamlessly incorporate approved change orders into active billing schedules to prevent unbilled work.
● Project Collaboration: Partner closely with Project Managers and Superintendents to verify the percentage of completion and materials stored on-site prior to submitting bills.
● Compliance & Documentation: Ensure all billing packages include necessary attachments, such as Lien Waiver Logs, Lien Waivers, Subcontractor invoices, and required city/state compliance forms.
● Dispute Resolution: Review contracts, track billing status, and collaborate with internal teams to quickly resolve any discrepancies.
● Adaptability: Perform other job-related duties as required to support the financial health of the firms.
Qualifications & Skills
● Experience: BA/BS in Business with an emphasis in Accounting, OR 5+ years of related experience in construction billing or project-based accounting.
● Industry Knowledge: Strong understanding of construction contracts, retention clauses, payment cycles, and lien laws.
● Software Competency: Proficiency in construction ERPs. Sage 300 CRE (Timberline) is highly preferred. Experience with Sage Intacct, Viewpoint Vista, Foundation, or QuickBooks Construction is a plus, alongside specialized platforms like Procore, Textura, or GC Pay.
● Technical Skills: Advanced Excel abilities, including formulas, VLOOKUPs, and pivot tables, to manage complex spreadsheets and match physical job costs to software records.
● Soft Skills: High attention to detail, exceptional problem-solving skills, and excellent verbal/written communication to maintain positive relations with customers and colleagues.
