We are seeking an exceptional Patient Access & Front Office Manager (PAM) to lead patient access and front office operations, including scheduling, registration, insurance verification, pre-authorizations, point-of-service collections, check-in, and check-out experience. This is an opportunity to develop people, improve systems, and create an environment where both patients and employees flourish.
Our PAM is responsible for leading and managing a team of 10-12 patient access and front office team members in a busy dermatology practice. This role is responsible for creating and maintaining a positive working environment while achieving standards for team productivity, quality, and patient satisfaction. Success is measured by front-office outcome metrics, employee retention, and the overall efficiency of patient service operations. This position is also responsible for serving as back-up in unanticipated absences or staffing shortages.

Key Responsibilities:
Operational Oversight:
- Efficiently execute front office responsibilities, including scheduling, registration, insurance verification, pre-authorizations, point-of-service collections, and check-in/check-out functions
- Achieve area metrics, including but not limited to, completion rates for insurance verifications and pre-authorizations, point of service collections, and completion of required patient forms.
- Regularly analyze data and performance reports to identify strengths and areas for improvement.
- Standardize workflows, identify process inefficiencies, and implement improvements to enhance operational performance.
- Oversee non-clinical supplies and inventory across locations.
- Serving as HIPPA Compliance office to ensure compliance with HIPAA regulations and office policies while maintaining high standards of professionalism.
- Cross-cover on all front office, scheduling, and phone team responsibilities.
Team Supervision & Leadership:
- Supervise, manage, and inspire patient access & front office team (~10-12 employees)
- Provide training, mentoring, and ongoing performance evaluations to support individual and team development.
- Create and foster a positive, supportive, and inclusive working environment to promote employee satisfaction and retention.
- Set clear expectations for productivity, quality, and professional conduct, and hold team members accountable.
- ■ Ensure team members consistently meet or exceed productivity and quality standards while maintaining a patient-centered approach.
- ■ Provide constructive feedback to team members, implement corrective actions as needed, and recognize outstanding performance.
- ■ Recognize individual and team achievements through formal and informal acknowledgment programs.
- Develop team schedules to ensure consistent coverage and smooth operations during all business hours.
- Address and resolve escalated patient concerns or operational issues in a professional and efficient manner.
● Communications & Collaboration:
- Encourage collaboration, open communication, and teamwork within the patient services team and across departments.
- Address workplace challenges proactively and foster a culture of problem-solving and continuous improvement.
- Facilitate regular team meetings to discuss updates, provide training, share feedback, and celebrate successes.
- Serve as the primary liaison between patient services team, clinical team, billing & collection team, and leadership to ensure alignment with practice goals and work collaboratively with other departments to streamline workflows and improve patient experiences.
- Communicate and document operational updates, policies, and expectations clearly to team members.

Qualifications:
- Minimum three-years medical office supervision, team leadership, or comparable experience.
- Proven ability to measure and improve team performance through outcome metrics and standards.
- Adept at using electronic health records, scheduling software, insurance portals, Google Workspace, spreadsheets, and other computer-based tools.
- Dermatology or specialty experience is a strong plus but not required.
- College degree preferred but work experience will be considered.
Job Locations:
- We currently have offices in Centennial, Littleton, & Longmont, CO. This position is based in Centennial, CO and will require regular site visits and coverage support at all our locations.

Pay: $72,000.00 - $82,000.00 per year
