Duties
- Greet visitors and clients warmly at the front desk, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks accounting software
- Organize files, documents, and correspondence through effective filing systems and proofreading to ensure clarity and accuracy
- Assist with calendar management, scheduling appointments, meetings, and coordinating events or deadlines
- Support office management tasks such as supply inventory, ordering materials, and maintaining cleanliness of common areas
- Provide clerical support including typing reports, proofreading documents, handling mail distribution, and supporting bookkeeping activities
Qualifications
- Proven experience in an office environment with strong administrative skills and office management knowledge
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy
- Experience with QuickBooks or similar bookkeeping software is preferred
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Strong communication skills; bilingual abilities are a plus for serving diverse clients or team members
- Previous experience as a receptionist or medical/dental receptionist is advantageous
- Demonstrated ability to handle multi-line phone systems with professionalism and courtesy
- Personal assistant experience or familiarity with calendar management enhances your fit for this role
