Customer Service Representative (CSR) / Bookkeeper
Position Summary
The CSR / Bookkeeper serves as the primary point of contact for customers while managing essential accounting and administrative functions for the HVAC business. This role requires excellent customer service skills, strong attention to detail, and the ability to maintain accurate financial records while supporting daily office operations.
Essential Duties and Responsibilities
Customer Service
Answer and direct incoming phone calls.
Schedule service calls, maintenance agreements, and installation appointments.
Communicate with customers regarding appointment times, service updates, and billing inquiries.
Resolve customer concerns professionally and efficiently.
Maintain accurate customer records in company software.
Dispatch & Office Administration
Coordinate technician schedules and dispatch activities.
Track work orders and ensure timely completion.
Process permits, warranties, and service documentation as needed.
Assist management with reports and administrative tasks.
Bookkeeping & Accounting
Generate customer invoices and statements.
Process customer payments and deposits.
Manage accounts receivable and collections.
Process vendor invoices and accounts payable.
Reconcile credit card statements.
Assist with payroll processing and employee records.
Qualifications
High school diploma or equivalent required.
Associate degree in accounting, business, or related field preferred.
Minimum 2 years of customer service experience.
Minimum 2 years of bookkeeping or accounting experience preferred.
QuickBooks experience strongly preferred.
Experience with ServiceTitan, Housecall Pro, or similar HVAC software is a plus.
Strong Microsoft Office skills, especially Excel and Outlook.

Work Schedule
Monday through Friday
8:00 to 5:00
Occasional overtime as needed
Compensation
Competitive hourly wage or salary based on experience.
