About the Role
Random Math is looking for a dependable, organized, and detail-oriented Admin Assistant to support our weekend programs.
This role is primarily focused on administrative support, center operations, parent communication, and day-to-day coordination. The Admin Assistant will help ensure that classes run smoothly, schedules are followed, attendance is tracked accurately, and parents, students, coaches, and staff receive timely and professional support.
The ideal candidate is reliable, punctual, calm under pressure, comfortable managing details, and able to communicate clearly in a busy educational environment.
This is a weekend position. Full-day availability on both Saturday and Sunday is an essential function of the role
Key ResponsibilitiesAdministrative Support
- Maintain accurate class schedules, attendance records, student information, and operational notes.
- Assist with registration, enrollment, scheduling, class logistics, and parent follow-ups.
- Prepare, update, and organize documents, spreadsheets, reports, and internal trackers.
- Enter and maintain accurate data in internal systems.
- Track pending items, follow-ups, and open issues to ensure timely completion.
- Support general office and administrative tasks as needed.
Center Operations
- Help prepare the center before classes begin.
- Support student check-in, classroom readiness, attendance tracking, and parent coordination.
- Monitor class start times and help ensure programs run according to schedule.
- Assist with weekend classes, assessments, events, and special program logistics.
- Coordinate with coaches and staff regarding classroom needs, schedule changes, student issues, and operational updates.
- Escalate operational issues promptly to the appropriate manager.
Parent and Student Support
- Serve as a professional point of contact for parents and students during operating hours.
- Respond to routine parent questions regarding schedules, attendance, class logistics, and program information.
- Communicate reminders, updates, and follow-up messages clearly and professionally.
- Help resolve basic administrative and logistical questions.
- Escalate complex parent concerns to management when needed.
- Ensure families receive timely, accurate, and courteous support.
Staff Coordination
- Coordinate with coaches, teaching assistants, and administrative staff to support smooth day-to-day operations.
- Share schedule updates, attendance information, classroom needs, and operational reminders with the appropriate team members.
- Support shift handovers by documenting important updates and unresolved issues.
- Help improve internal workflows, communication practices, and administrative processes.
QualificationsRequired
- Currently pursuing or completed an undergraduate degree in any discipline.
- Strong administrative, organizational, and follow-up skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to manage multiple tasks in a busy environment.
- Dependable, punctual, and professional.
- Comfortable interacting with parents, students, coaches, and staff.
- Proficiency with Microsoft Office, especially Word, Excel, and Outlook.
- Ability to learn new systems, software, and internal processes quickly.
- Full-day availability on both Saturday and Sunday.
Preferred
- Prior experience in administrative support, office coordination, customer service, school operations, or education-related environments.
- Experience with scheduling, attendance tracking, CRM systems, helpdesk tools, or learning management systems.
- Strong writing skills for parent communication and internal documentation.
- Interest in education, academic programs, student services, or youth enrichment programs.
Work HoursWeekend Availability Required
- Saturday: 8-hour shift; full-day availability required.
- Sunday: 8-hour shift; full-day availability required.
- Exact hours may vary depending on class schedules, assessments, and program needs.
Weekday Availability
- Limited weekday evening hours may be required for follow-up communication, administrative updates, scheduling, and coordination.
Interview Process
Our hiring process is designed to evaluate administrative ability, communication skills, attention to detail, and judgment.
Written Assessment
Candidates will complete a short written assessment involving realistic administrative and parent communication scenarios. This assessment will evaluate clarity, tone, accuracy, organization, and problem-solving.
Personal Interview
Candidates who pass the written assessment will be invited for a one-on-one interview. The interview will focus on reliability, communication style, administrative judgment, ability to multitask, and fit with Random Math’s operating standards.
