Designer, manufacturer and distributor of funny and unique tees for men, women, kids is looking for a Apparel Administrator (Licensed Intellectual Property) to join their team in Chatsworth.
Summary: The Licensed Administrator is responsible for managing the intake, organization, documentation, and shipment of product samples. This role ensures all samples are accurately tracked, properly labeled, and reviewed by brand managers before being shipped to licensors. The ideal candidate has experience working with Licensed Intellectual Property (IP) and understands the importance of maintaining brand standards and compliance. This position operates in a fast-paced, high-volume communication environment and requires strong attention to detail, organization, and responsiveness.
Responsibilities:
- Receive, log, and organize incoming physical samples.
- Inspect samples for quality, accuracy, and compliance with Licensed IP guidelines; identify and communicate any issues to brand managers in a timely manner.
- Photograph samples, including front views, additional print details, and neck labels, ensuring clear and accurate visual documentation.
- Upload and maintain sample images and records in Smartsheet.
- Label all samples accurately for tracking and internal organization.
- Coordinate the handoff of samples to brand managers for review and approval.
- Track approval status and follow up as needed to ensure timely processing.
- Prepare approved samples for shipment, ensuring all Licensed IP requirements and corresponding paperwork are complete and accurate.
- Ship samples to licensors and ensure all shipments are handled efficiently and securely.
- Update Smartsheet with shipment details, including tracking information, to maintain accurate records.
- Manage and respond to a high volume of emails, maintaining clear and timely communication with internal teams and external partners.
Qualifications:
- Experience working with Licensed Intellectual Property (IP) and understanding of licensor approval processes.
- Strong organizational and time management skills.
- High attention to detail and accuracy, especially in relation to brand standards and compliance.
- Ability to manage multiple tasks and deadlines simultaneously in a fast-paced environment.
- Strong written and verbal communication skills, with the ability to manage a heavy email workload.
- Experience with Smartsheet or similar tracking systems preferred.
- Proficiency in Microsoft Teams and experience working in a Mac-based environment.
- Basic photography skills or experience documenting products is a plus.
- Screen print knowledge is a plus, including familiarity with print placement, techniques, and quality considerations.
- Familiarity with Adobe Illustrator and Photoshop is a plus.
Pay: $23.00 - $25.00 per hour
