TITLE: Administrative Assistant
Confirmation and Youth Ministry

HOURS/SCHEDULE: (20 hours/week) Schedule to be determined and may vary.
Must be available for evenings and weekends.
REPORTS TO: Coordinator of Confirmation and Youth Ministry
Pay Range: $17.50-$20.00 per hour

INTERNAL / EXTERNAL CONTACTS: Clergy, parish staff, parishioners, families, and volunteers.
JOB SUMMARY:
As St. Norbert Catholic Church is a vibrant parish community leading young people to fall deeper in love with Jesus Christ and his Church. This position provides administrative, organizational, and ministry support for the parish's Confirmation, youth ministry and Jr. high ministry programs. Working collaboratively with the Confirmation & Youth Ministry Coordinator, clergy, staff, and volunteers, the Administrative Assistant helps ensure that these ministries are well-organized, welcoming, and effectively serving our youth and their families through formation, sacramental preparation, retreats, events, and active engagement in parish life.

Duties and Responsibilities:
- Middle School, High School and Youth Ministry Program
- Assist with the planning and facilitation of weekly gathering for middle school and high school students.
- Plan and attend middle school ministry gatherings and events, including Edge Ministry.
- Assist with curriculum planning for First Communion preparation for junior high students enrolled in EDGE.
- Offer opportunities for youth to grow in faith through formation events, prayer experiences and service opportunities.
- Assist and plan monthly socials for middle school ministry
- Attend Diocesan Middle School Youth Day and other Diocesan youth events as requested.
Confirmation Program
- Assist with regular team meetings to prepare for classes, meetings, small groups and ministry events.
- Assist in developing and maintaining a calendar of meetings and events for Confirmation parents, students and volunteers.
- Attend Confirmation classes, parent meetings, retreats, and related ministry events.
- Ensure materials for each class, meeting, and gathering are properly prepared and organized.
- Maintain accurate registration records and sacramental records for the Confirmation and Jr. High First Communion programs.
- Encourage confirmed high school youth to serve as peer leaders and volunteers and participate parish events.
- Assist in planning and supporting retreats, service projects, worship experiences, and leadership opportunities for the high school youth.
- Attend and support at both Confirmation 1, Confirmation 2, leadership retreats, and other youth ministry events as needed.
- Assist with preparing for the Rite of Confirmation Ceremony.
- Communication
- Collaborate with the Communications Coordinator to prioritize and develop ongoing content for social media.
- Assist with bulletin announcements, emails, Flocknote communications, and promotional materials as needed.
- Update shred Confirmation, Youth Ministry and Young Adult Ministry calendar
- Ministry Support & Other
- Collaborate with and provide support to the Children's Faith Formation ministry and other areas within Family Life & Formation, programs and events as requested.
- Attend and provide support for the parish festival, St. Norbertfest, and other parish events as needed.
- Perform other duties as assigned.
Qualifications & Skills
- Maintain confidentiality regarding family, parishioner and sacramental information.
- Speak, write, and read fluently in both English and Spanish
- Strong organizational, communication, interpersonal, and time management skills.
- Ability to work collaboratively with clergy, parish staff, volunteers, parents, and adolescents.
- Availability to work evenings, weekends, and overnight retreats, as needed.
- Proficiency in Microsoft programs: Outlook, Word, Excel, Publisher, and PowerPoint.
- Proficiency in design programs such as Canva, communication programs such as Flocknote, parish databases, and registration programs.
Ongoing Formation and Professional Development
- Participates in on-going spiritual, pastoral, and theological formation provided by the Diocese of Orange and other approved organizations.
- Complete Basic Catechist Certification from the Dioceses of Orange within the first-year employment.
- Complete National Youth Ministry Certification within three years of hire.
- Attend Diocesan youth ministry trainings, in-services, and meetings as requested.
PYSICAL REQUIREMENTS/WORK ENVIRONMENT:
To perform duties of the job, the employee may on a regular basis be required to stand, sit, talk, hear/listen, reach, stoop, kneel and use hands and fingers to operate a computer, keyboard and other office equipment. Close vision requirements apply due to the nature of computer work.
