Secretary / Receptionist – Law Firm

About Us: We are a busy and client-focused law firm dealing with primarily Workers Compensation and personal injury cases. We are seeking a highly organized, detail-oriented Secretary/Receptionist to join our team. The ideal candidate is professional, dependable, and capable of managing multiple responsibilities while maintaining accuracy and confidentiality.
Responsibilities:
- Answer incoming telephone calls, greet callers professionally, and accurately take and relay messages.
- Organize and maintain both paper and electronic client files using an established filing and labeling system.
- Request and obtain medical records and other documentation from healthcare providers.
- Review incoming records and update both paper and electronic client files to ensure information is complete and current.
- Proficiency in Microsoft Word, Excel, and using Microsoft Outlook Calendar.
- Efficiently and accurately track tasks, deadlines, and workflow using Monday.com.
- Scan, file, and shred documents in accordance with firm procedures and confidentiality requirements.
- Maintain organized workspaces and ensure files are readily accessible when needed.
- Handle confidential client information with discretion and professionalism.
Qualifications:
- Previous experience as a receptionist, secretary, administrative assistant, or similar office support role preferred.
- Strong attention to detail and commitment to accuracy.
- Excellent organizational and time management skills.
- Professional telephone etiquette and strong written and verbal communication skills.
- Ability to follow established procedures and maintain consistent filing systems.
- Proficiency with Microsoft Outlook, including calendar management.
- Comfortable learning and using Monday.com.
- Ability to prioritize tasks and work independently in a fast-paced environment.
- Experience in a law office, medical office, or professional services environment is a plus.
