Position Summary
The Production Project Manager works closely with the Senior Project Manager – Production to deliver large-scale immersive exhibitions. This position manages assigned projects, coordinates with internal and external stakeholders, and ensures milestones are achieved on schedule and within budget. This is a hands-on, detail-oriented role suited to a proactive professional who thrives in a fast-paced, creative production environment.
Key Responsibilities
Project Coordination
- Assist the Senior Project Manager in planning and executing all production phases from design to load-out.
- Develop and maintain project timelines, task lists, and documentation.
- Monitor progress, track deliverables, and escalate issues or risks as needed.
- Support communication across departments including Creative, Technical, Operations, Logistics, and Venue Management.
Production Management
- Coordinate fabrication, shipping, installation, and technical setup for exhibition launches.
- Manage on-site production activities, ensuring adherence to design intent and safety protocols.
- Conduct quality checks and troubleshoot production or logistical issues during build and load-in.
Budget & Procurement
- Support budget tracking, invoice processing, and vendor management.
- Obtain and compare vendor quotes; assist with contract preparation and purchase orders.
- Maintain accurate records of production costs and materials.
Documentation & Reporting
- Prepare production reports, installation notes, and project close-out documentation.
- Maintain project files, drawings, and revision logs in shared databases or project management platforms.
- Contribute to process improvement by documenting lessons learned.
Qualifications & Experience
- Bachelor’s degree in Project Management, Production Management, Technical Theatre, or a related field (or equivalent professional experience).
- Must have 3–5 years of experience in live event, museum, touring exhibition, or scenic production management.
- Strong organizational and time-management skills with attention to detail.
- Working knowledge of fabrication, AV systems, rigging, and technical installation.
- Experience with project management software (e.g., Asana, Smartsheet, or MS Project).
- Excellent communication and problem-solving skills.
- Willingness to travel and work flexible hours during exhibition launches.
Preferred Skills
- Experience supporting international or multi-city touring productions.
- Familiarity with immersive or experiential entertainment environments.
- Budgeting or cost-control experience.
- Fluency in additional languages (French or Spanish preferred).
Pay: $80,000.00 - $85,000.00 per year
