Job Summary
We are a Registered Investment Advisor located in Daytona Beach and Palm Coast, FL seeking a detail-oriented Client Service Associate to join our team. We are a boutique practice with an affiliated CPA Firm providing our clients holistic planning, investment management and tax preparation services to individuals, business entities, trusts, estates, and pension plans. In this role, you will serve as a key point of contact for high-net-worth clients, providing exceptional client service and supporting the delivery of comprehensive wealth management solutions. Your proactive approach, combined with strong organizational skills, will help foster lasting client relationships and ensure seamless account management. This position offers an exciting opportunity to collaborate across teams, utilize cutting-edge CRM systems, and contribute to the growth of our client base through strategic engagement and personalized service.
Duties
- Contributing to the overall client experience, supporting team members and advisors in creating presentation materials, scheduling and preparing for meetings, and following up with post-meeting deliverables.
- Support the onboarding process for new clients, ensuring all documentation and compliance requirements are met efficiently.
- Utilize Salesforce and other CRM tools to track client interactions, update account information, and analyze client data for insights.
- Handle customer inquiries promptly via phone, email, or in-person meetings, resolving issues with professionalism and care.
- Properly and accurately execute deposits, withdrawals, and other transactions.
- Collaborate cross-functionally with compliance and operations teams to optimize client experience and streamline processes.
- Strong communication skills demonstrated via composition of letters, emails, and answering phone calls.
Requirements
- Proven experience in client services within financial services or related industries.
- Strong proficiency with CRM systems such as Salesforce or similar platforms; familiarity with customer relationship management best practices.
- Have the ability to support multiple advisors
- Excellent communication skills—both written and verbal
- Demonstrated project management skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Experience in managing customer accounts and delivering exceptional customer service problem-solving solutions.
- Ability to collaborate across departments effectively while maintaining high standards of internal communication.
- Possess strong ethics, with the ability and dedication to maintain high confidentiality of personally identifiable client and firm information.
- Be eager to learn about the industry and our firm and enjoy working in a fast-paced environment.
- Be tech savvy, with the ability to quickly learn new technology tools, platforms, and software.
- Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint)
- 2-year degree or Series 65 license preferred.
