Office Manager
Objective: Perform all duties assigned by Executive Management to ensure smooth operational efficiency.
Reports to: Executive management
Primary Responsibilities (including, but not limited to):
· Lead talent acquisition for client families including job posting, resume screening, phone-screenings, interviewing, onboarding and running orientation for all qualified candidates
· Answer and direct all calls for Oliver’s Nannies regarding clients, candidates, and staff
· Maintain paper and electronic files and ensure all documents, are prepared and stocked; keep all electronic databases up to date and track expiration of critical documents
· Support efforts regarding client, candidate, and employee management including scheduling, staffing, communications, and more
· Follow-up with monthly check-in’s for families and nannies to ensure satisfaction of all parties within childcare plan; ability proceed to next steps from follow-ups and updates
· Track billable hours and process Payroll & Billing for Oliver’s Nannies
· Speak with potential new families on inquiry calls; ensure appropriate follow up with communiations and meetings to complete documents and assessments as needed
· Manage office supply list and maintain organization of office space
· Responsible for completion of Client Welcome Calls upon signing of a new family
· Ensure all shifts and schedules are appropriately staffed (including FlexCare & fill-in’s)
· Identify & present appropriate candidates to a family through profile selection and schedule and complete potential nanny interviews with a family
· Create & maintain up to date Care Plan information for all families receiving care
· Responsible for evaluating nannies on an annual basis during Annual Evaluation, ensue proper documentation is completed & filed
· Ensure calendars for all families and nannies are updated in a timely manner
· Ensure client satisfaction through completion of emails, phone check ins, and home visits
· Serve in on-call rotation to ensure needs are met during emergency events outside of office hours
Qualifications:
· Ability to work as a team player, multi-task, and work independently
· Able to maintain confidential information
· Excellent communication skills to effectively with the company staff, candidates and client families
· Adaptive to fast-paced work environment and ability to manage dynamic situations
Education and Experience:
· Bachelor's Degree and three years of related work experience strongly preferred in a child care service setting. Education and experience within administrative, clerical, customer service, communications, client relations, and talent acquisition is also acceptable
