Position Summary
We are seeking a polished and highly organized Part-Time Executive Administrator to support daily firm operations and leadership. This in-office role is based in the Westshore area of Tampa, FL and requires 24 hours per week. The ideal candidate is a proactive self-starter with strong administrative instincts, attention to detail, and the professionalism to interact with sophisticated clients in the financial services and real estate sectors.
Key Responsibilities
- Manage executive calendars, schedule internal and client-facing meetings, and coordinate logistics
- Oversee daily office operations to ensure a professional, organized, and well-functioning work environment
- Order and maintain office supplies and manage vendor relationships
- Assist with the preparation of meeting agendas, presentation materials, and briefing documents
- Process incoming bills and issue client invoices in a timely and accurate manner
- Follow up with firm clients on outstanding accounts receivable and maintain collections tracking
- Manage employee software access, including onboarding provisioning and offboarding deactivation
- Coordinate onboarding and offboarding processes for employees, ensuring smooth transitions
- Serve as a point of contact for internal communications and administrative inquiries
- Maintain organized electronic and physical filing systems for firm records and documentation
- Support leadership with ad hoc projects and other related administrative tasks as needed
Qualifications
Required
- Minimum 4 years of experience in an executive administrative, office management, or similar professional support role
- Exceptional organizational skills with a high degree of accuracy and attention to detail
- Strong written and verbal communication skills; ability to interact with clients and leadership with professionalism and discretion
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general office technology
- Demonstrated ability to manage competing priorities and work independently in a fast-paced environment
- Reliable, punctual, and committed to maintaining confidentiality
Preferred
- Accounting or bookkeeping experience (invoicing, AR follow-up, bill processing)
- Background in financial services, accounting, private equity, or commercial real estate environments
- Experience with practice management, accounting, or CRM software
- Familiarity with employee onboarding/offboarding processes and IT access management
Compensation & Schedule
- Hourly Rate: $25.00 per hour
- Schedule: 24 hours per week, in-office
- Location: Westshore area, Tampa, FL
Pay: $24.00 - $27.00 per hour
