The Sample Coordinator is responsible for managing product sample operations, including preparing, tracking, and shipping samples while maintaining an organized sample inventory and sample library. The role also supports incoming material sampling, basic laboratory testing, and cross-functional quality and regulatory activities to ensure efficient operations and exceptional customer support.
Responsibilities
- Coordinate and process sample requests.
- Prepare, label, package, and ship domestic and international product samples.
- Request, receive, inspect, and organize supplier samples.
- Maintain sample inventory, sample library, and retained samples.
- Monitor sample inventory levels and coordinate replenishment as needed.
- Collect representative samples of incoming raw materials in accordance with established procedures.
- Perform routine laboratory testing such as pH, moisture, appearance, viscosity, and other evaluations as required.
- Record laboratory and inspection results and maintain related quality records.
- Coordinate with Sales, Supply Chain, Warehouse, and suppliers to ensure timely fulfillment of sample requests.
- Support the Quality & Regulatory team with product documentation, document management, customer documentation requests, data entry, and other departmental activities.
- Assist with the preparation and maintenance of Safety Data Sheets (SDS), Technical Data Sheets (TDS), specifications, and other product documentation as needed.
- Support quality investigations, audits, and continuous improvement initiatives as needed.
- Maintain laboratory supplies, sample storage areas, and workspaces in a clean and organized manner.
- Other duties and responsibilities as requested.
Requirements
- Previous experience in sample coordination, laboratory support, quality, shipping, inventory management, or a related operational role preferred.
- Experience working with chemical products, ingredients, personal care products, or similar materials is preferred.
- Familiarity with basic laboratory testing and equipment.
- Strong organizational skills with excellent attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong written and verbal communication skills.
- Experience using ERP, inventory, shipping, or document management systems is preferred.
- PC proficient, with the ability to use Microsoft Office and commonly used software to support business activities.
- Self-motivated, with the ability to work independently and as part of a cross-functional team.
- Ability to lift and move packages weighing up to 50 pounds.
