Executive Assistant/ Office Manager

Supervest is a fintech platform in the alternative-investments space, giving investors access to asset classes and yield opportunities that have traditionally been hard to reach. We operate a growing family of products and are scaling the team and the operations behind them. You will join a small, fast-moving company where your work has direct, visible impact and where you will help build the foundations that the next stage of growth is built on.
About the Role
Our CEO runs at full speed. His day is a stream of calls, conversations, and decisions and the calendar rarely survives contact with reality. We're looking for an exceptionally organized Executive Assistant who can bring structure to that pace without slowing it down: someone who owns his calendar completely, keeps him where he needs to be, and clears everything off his plate that doesn't require his personal attention.
This is a high-trust, high-visibility role. You'll sit with the CEO daily, act as his right hand, and be the person the rest of the company relies on to get time with him. The best person for this job is confident enough to interrupt him mid-call to get him to his next meeting and gracious enough that he thanks you for it.
What You'll Do
- Calendar management: Own it end to end. Schedule, protect, and continuously reshuffle his day as priorities shift. When he needs to meet with someone, get it on the calendar the same day, not next week.
- Keep him on schedule: He won't watch the clock, so you will. Track his day in real time and gently but firmly move him from call to call and into meetings on time.
- Assemble the right rooms: Know who does what across the company so you can identify and add the right people to every meeting without being told. Build the agenda around who actually needs to be in the room.
- Manage all travel: Book flights, hotels, and ground transport immediately upon request — he should never have to book anything himself or wait on an itinerary. Handle changes and cancellations proactively when his schedule moves.
- Run his daily rhythm: Meet with the CEO at the start of every day to set his action items and priorities, and again at the end of the day to recap what happened, what's outstanding, and what's tee'd up for tomorrow.
- Be his eyes and ears: Keep a current pulse on what's happening across the company, from projects, launches, people, wins, problems, so when he asks, you have the answer or know exactly who does.
- Manage the flow: Screen and prioritize requests for his time, capture commitments he makes on calls, and make sure follow-ups actually happen.
- This role is based full-time in our New York City office, and beyond supporting the CEO you'll take ownership of the office itself, handling light office management and making sure the space stays organized, presentable, and welcoming for visiting clients.

- Fast. You act immediately. A travel request gets booked within the hour, not the day. You share the CEO's impatience with waiting.
- Personable and plugged in. People across the company like talking to you, which is exactly how you stay informed. You build relationships at every level.
- A quick study of the organization. You learn who owns what, who decides what, and who needs to know what and you use that map daily.
- Discreet. You'll see sensitive information constantly and handle it with complete confidentiality.
Qualifications
- 3 years experience supporting a C-level executive, founder, or similarly fast-moving principal.
- Proven experience managing complex, constantly changing calendars and booking domestic and international travel.
- Excellent written and verbal communication; comfortable interfacing with executives, board members, and external partners.
- Proficiency with Google Workspace and Microsoft, and quick to master new tools.
- Able to work onsite daily alongside the CEO; flexibility for occasional early mornings, evenings, or urgent requests.
Salary Range: $70,000 to $95,000 annually
