.Position Overview
The Administrative Assistant supports the daily operations of a small property management office by performing a variety of clerical, administrative, and customer service tasks. This position plays a key role in maintaining organized records, coordinating tenant communications and documentation, and ensuring the smooth and professional operation of the office.
Key Responsibilities
Clerical & Administrative Duties
- Perform general office duties, including answering phones, responding to emails, filing, scanning, and photocopying documents.
- Maintain organized electronic and paper filing systems for leases, vendor contracts, maintenance requests, and other records.
- Prepare correspondence, reports, and other property management documentation.
- Schedule and coordinate meetings, inspections, and property visits.
- Assist with processing invoices, payments, and expense tracking.
Tenant Relations
- Serve as the first point of contact for tenants and visitors in the office, providing friendly and professional assistance.
- Manage tenant inquiries and maintenance requests, ensuring timely follow-up and resolution.
- Maintain accurate tenant contact, insurance and vehicle information and the necessary communication logs.
Property Management Support
- Help prepare notices and other tenant-related documents.
- Assist tracking rent payments, late fees, and assist with rent collection.
- Assist in preparing financial and occupancy reports.
General Office Support
- Greet clients, visitors, and vendors in a professional manner.
- Manage incoming and outgoing mail and packages.
- Maintain office supplies, forms, and general upkeep of the office environment.
Qualifications
- High school diploma or equivalent
- 2+ years of administrative or clerical experience (property management experience a plus).
- Strong organizational skills with attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook), QuickBooks experience, property management software a plus (e.g., AppFolio, Yardi, Buildium, etc.).
