We are looking for a detail-oriented Accounts Payable Specialist to join our team and help keep our financial operations accurate, organized, and running smoothly.
Position Summary
The Accounts Payable Specialist will be responsible for managing Freight Hub’s day-to-day accounts payable activities, including processing vendor invoices, matching invoices to supporting documentation, maintaining accurate records, and ensuring vendors are paid accurately and on time.
The ideal candidate is organized, dependable, comfortable working with numbers, and able to manage a high volume of invoices while maintaining accuracy.
Key Responsibilities
- Process and enter vendor invoices accurately and efficiently
- Review invoices for accuracy, proper approvals, and supporting documentation
- Match invoices with purchase orders, receipts, bills of lading, fuel receipts, and other documentation as applicable
- Verify vendor information, pricing, quantities, and payment terms
- Process trucking-related expenses and transportation vendor invoices
- Reconcile vendor statements and research discrepancies
- Communicate with vendors regarding invoices, payments, account balances, and discrepancies
- Maintain accurate accounts payable records and documentation
- Prepare accounts payable reports as needed
- Assist with weekly and monthly payment processing
- Help with month-end closing activities
- Track outstanding invoices and follow up on missing documentation or approvals
- Maintain organized digital and physical accounting records
- Work closely with operations, dispatch, fleet, and management to resolve billing and invoice issues
- Assist the accounting team with other duties and special projects as needed
Qualifications
- 1+ year of accounts payable, accounting, bookkeeping, or related experience preferred
- Experience in trucking, transportation, logistics, or fleet operations is a plus
- Strong attention to detail and accuracy
- Good organizational and time-management skills
- Ability to handle multiple priorities and meet deadlines
- Strong communication and problem-solving skills
- Comfortable working with Microsoft Excel and accounting software
- Ability to maintain confidentiality with financial information
- High school diploma or equivalent required; accounting coursework or degree is a plus
Preferred Experience
Experience with any of the following is a plus:
- Transportation or trucking accounting
- Freight vendors and carrier payments
- Fuel invoices and fuel-card transactions
- Truck repairs and maintenance invoices
- Tolls, permits, registration, and fleet-related expenses
- QuickBooks or other accounting software
- Accounts payable automation systems
