Job Title: Karbon Workflow & Operations Specialist | Remote
CFOAF is looking for a highly skilled Karbon Workflow & Operations Specialist to support our internal operations, workflow architecture, template design, reporting, and practice management systems.
This is not a basic admin role. We are looking for someone with proven, hands-on Karbon experience who understands how accounting, tax, and advisory firms use Karbon to manage work, deadlines, client communication, templates, automations, visibility, and reporting.
The ideal candidate is highly organized, systems-minded, detail-oriented, and capable of building clean, scalable workflows that help the team operate with more clarity, accountability, and efficiency.
Primary Responsibilities
- Build, refine, and manage Karbon work templates
- Design and improve workflow architecture across service lines
- Add and manage automations within Karbon templates
- Review existing templates and identify opportunities for simplification, automation, and better visibility
- Help create clean workflow structures for tax, advisory, onboarding, client requests, recurring work, and internal operations
- Support dashboard, analytics, and reporting needs inside Karbon
- Pull and organize data from Karbon for leadership review
- Assist with custom reporting using Karbon data, spreadsheets, and AI tools
- Help identify workflow bottlenecks, incomplete tasks, overdue work, and visibility gaps
- Support process documentation and SOP creation related to Karbon workflows
- Work with leadership to improve team accountability, task ownership, client request tracking, and deadline visibility
- Assist with other operational support tasks related to systems, reporting, workflows, and internal process improvement
Required Experience
- Proven hands-on experience using Karbon in an accounting, tax, bookkeeping, or advisory firm
- Experience building or managing Karbon templates
- Understanding of Karbon work items, tasks, statuses, client requests, timelines, automations, assignments, and recurring workflows
- Ability to think through workflow structure, not just complete assigned tasks
- Strong spreadsheet skills
- Comfortable using AI tools to assist with reporting, process documentation, analysis, and workflow improvement
- Strong written communication skills
- Excellent attention to detail
- Ability to work independently and follow through without constant supervision
- Comfortable working with a remote team
Preferred Experience
- Experience supporting a CPA firm, tax firm, bookkeeping firm, or advisory practice
- Experience creating dashboards or reports from Karbon Analytics
- Experience with operational reporting, workflow audits, or capacity tracking
- Experience documenting SOPs
- Experience with tools such as Google Sheets, Excel, Slack, ChatGPT, Zapier/Make, or other automation/reporting tools
- Familiarity with tax workflow, client onboarding, document collection, recurring monthly work, or advisory service delivery

We will test candidates on practical Karbon knowledge, including template structure, automations, workflow design, reporting, and how to organize work inside Karbon for a real accounting or tax firm.
We are looking for someone who can show what they know, not just list Karbon on a resume.

You are systems-minded, proactive, and organized. You like clean workflows, clear ownership, and accurate data. You notice when processes are messy and can help turn chaos into structure. You are comfortable asking smart questions, making recommendations, and helping leadership see what is really happening inside the firm.
You do not need to be a CPA or tax expert, but you do need to understand how accounting firms operate and how Karbon can be used to manage work effectively.
Location
Remote
Philippines or India preferred, but we are open to exceptional candidates in other locations.
Schedule
Part-time to full-time, depending on skill level and availability.
Some overlap with U.S. business hours is required.
Compensation
$12–$20 USD per hour, depending on experience.
Higher rates may be considered for candidates with advanced Karbon expertise, strong reporting skills, and proven experience improving workflows inside an accounting or tax firm.
