Overview
The Human Resources Assistant provides administrative and operational support to the Human Resources Department. This position assists with employee records management, personnel actions, benefits administration, employee communications, surveys, compliance activities, scheduling, and departmental correspondence. The Human Resources Assistant works closely with the Human Resources Director, HR Generalist, and Benefits Administrator to support departmental operations and provide exceptional customer service to employees and management.
Duties
- Maintains accurate and confidential employee personnel files and Human Resources records.
- Processes personnel actions and employee data changes in UKG Ready and in ARCA’s HR file structure.
- Updates and maintains employee information in ARCA's Human Resources Information System (HRIS).
- Prepares employment verification letters, monitors Human Resources inboxes and Human Resources correspondence for the Human Resources Director, Benefits Administrator and HR Generalist.
- Respond to employee inquiries in a professional and timely manner.
- Supports onboarding and new hire paperwork processes.
- Assists with record retention and filing in accordance with ARCA and regulatory requirements.
- Benefits and Payroll Support
- Assists employees with benefits enrollment, changes, and questions.
- Supports annual open enrollment activities.
- Coordinates with payroll personnel to ensure accurate employee information.
- Maintains records related to leave requests, attendance, and benefits administration.
- Assists with benefits documentation and vendor correspondence as assigned.
- Supports employee wellness and engagement initiatives.
- Compliance and Reporting
- Assists with Human Resources audits and preparation of reports.
- Manages I-9 processes and maintains compliance with federal employment regulations.
- Maintains required employment documentation and personnel records.
- Supports compliance with CARF standards and applicable federal and state employment
- Supports special projects and departmental initiatives.
- Maintains strict confidentiality regarding employee and organizational information.
- Employee relations and engagement support
- Provides excellent customer service to employees and management.
- Assists with employee engagement, recognition, and morale-building activities.
- Supports Human Resources team members in addressing routine employee concerns.
- Tracks performance review completion and notifies Human Resources Director when reviews require follow-up or Performance Improvement Plan (PIP) consideration.
- Assists with employee communications, surveys, and department announcements.
- Promotes positive employee relations through professional, respectful interactions.
- General Responsibilities
- Completes required orientation training and annual in-service training.
- Demonstrates commitment to ARCA's mission, vision, values, and SPIRIT Code.
- Supports continuous improvement initiatives within the Human Resources Department.
- Performs other duties as assigned.

- Working knowledge of HRIS systems is preferred. Strong attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment.
- Ability to work independently and collaboratively within a team environment.
- Knowledge of Human Resources processes and employment regulations preferred.
Physical & Environmental Requirements (ADA)
Work is performed in an office environment and requires prolonged periods of sitting, computer work, and telephone communication. (This position does not qualify for hybrid or remote opportunities). Must be able to move throughout office locations, lift and carry materials weighing up to twenty (40) pounds, organize work effectively, maintain confidentiality, and meet deadlines.
