Position: Volunteer Coordinator (Full-time, Wednesday - Sunday)

We are a dynamic, mission-driven organization committed to saving lives through adoption, rescue, affordable veterinary care, and community engagement. Our Adoption Center is located at 10930 E. Crystal Falls Parkway, Leander, Texas.
Position Summary
The Volunteer Coordinator is responsible for the development, implementation, and ongoing growth of Texas Humane Heroes' volunteer program, including supporting portions of the foster volunteer program. This position oversees all aspects of the volunteer experience—from recruitment and onboarding to training, scheduling, engagement, recognition, and retention—while serving as the primary point of contact for all volunteers.
The Volunteer Coordinator works collaboratively with all departments to ensure volunteers are effectively utilized to support organizational goals and enhance the care of animals in our shelter.
This position requires excellent organizational skills, strong communication abilities, and a passion for working with both people and animals in a fast-paced environment.
Physical Requirements
This position is physically demanding and requires the ability to:
- Stand and walk for extended periods
- Bend, stoop, kneel, climb, push, and pull
- Lift and carry up to 50 pounds
- Work in indoor and outdoor environments under varying weather conditions
- Safely handle animals of varying sizes and temperaments
Reporting Structure
The Volunteer Coordinator reports directly to the Chief Operating Officer.
Essential Duties and Responsibilities
Volunteer Program Management
- Recruit, onboard, train, engage, and retain volunteers in support of the organization's mission.
- Develop, improve, and maintain volunteer policies, procedures, and best practices.
- Create and facilitate informative, engaging volunteer orientations and ongoing training programs.
- Serve as the primary point of contact throughout the volunteer lifecycle.
- Manage volunteer registration, scheduling, communication, and records using volunteer management software.
- Ensure volunteer records, notes, and reports are accurate and current.
- Monitor volunteer participation and implement strategies to improve engagement and retention.
- Foster a welcoming, safe, inclusive, and positive volunteer environment.
Volunteer Operations
- Collaborate with department managers to identify volunteer needs and maintain effective volunteer schedules.
- Ensure volunteer assignments align with organizational priorities and departmental needs.
- Provide guidance, coaching, and constructive feedback to volunteers while maintaining positive working relationships.
- Encourage volunteers to remain productive and engaged during scheduled shifts.
- Train staff on effectively supervising and working alongside volunteers.
- Monitor volunteer T-shirt inventory and coordinate reorders with the Chief Operating Officer.
- Assist with the development and expansion of volunteer opportunities within the foster program in collaboration with the Intake team.
Communication & Collaboration
- Maintain professional, courteous, and timely communication with volunteers, staff, and members of the public.
- Represent Texas Humane Heroes professionally at all times.
- Build strong working relationships across all departments to support organizational goals.
- Communicate volunteer program updates, needs, and concerns to leadership as appropriate.
Animal Welfare Support
- Maintain working knowledge of adoption procedures, clinic pricing, adoption counseling standards, and current medical protocols.
- Obtain Fear Free® Certification within 30 days of hire.
- Communicate animal behavior concerns promptly to staff during daily meetings and through electronic communication, including ShelterLuv and email.
- Assist with animal care and shelter operations as needed, including cleaning animal enclosures and providing daily care.
Qualifications
- Strong passion for animal welfare and customer service.
- Experience coordinating volunteers, staff, or community programs preferred.
- Excellent organizational, interpersonal, and communication skills.
- Strong written, verbal, and computer skills.
- Ability to prioritize multiple responsibilities, meet deadlines, and adapt in a fast-paced environment.
- Ability to work independently while collaborating effectively with a team.
- Comfortable providing coaching, direction, and accountability to volunteers in a respectful and professional manner.
- Experience with volunteer management software and database systems is preferred.
- Demonstrated ability to organize projects and manage multiple priorities simultaneously.
Work Environment
This position is based in an active animal shelter environment and involves regular interaction with animals, volunteers, adopters, and the public. Exposure to cleaning chemicals, animal odors, noise, allergens, and varying weather conditions should be expected.
Weekend availability is required. The regular schedule for this position is Wednesday through Sunday.
Pay and Benefits
- Starting 20.00
- 4% match on 401K contributions, 3 year vesting;
- Health Insurance covered at 75%, employee pays 25%; Starting on first of the month after 30 days of employment;
- $15,000 life/ADD paid by TXHH
- LTD paid by TXHH
