Job Summary:
The Receptionist serves as the first point of contact for patients and visitors at our psychology practice, providing exceptional customer service and administrative support. This role requires a professional, empathetic, and organized individual who can handle sensitive information with discretion and maintain a calm and efficient environment.
This position will require travel between our offices in Germantown and North Bethesda. Afternoon and evening hours are required.
Responsibilities:
- Patient Interaction:
- Greet and welcome patients and visitors in a friendly and professional manner.
- Schedule and confirm appointments, manage appointment calendars, and handle appointment changes.
- Answer and manage incoming phone calls, responding to inquiries and directing calls appropriately.
- Assist patients with check-in and check-out procedures, including verifying insurance information and collecting payments.
- Provide information to patients about office policies, procedures, and available services.
- Handle patient inquiries and resolve issues promptly and professionally.
- Maintain patient confidentiality and adhere to HIPAA regulations.
Administrative Support:
- Maintain and organize patient files and records, both electronic and paper.
- Process insurance claims and payments, and handle billing inquiries.
- Manage incoming and outgoing mail, faxes, and emails.
- Maintain a clean and organized reception area.
- Assist with other administrative tasks as assigned by the Office Manager/Practice Administrator.
- Verify insurance benefits.
- Collect copayments and payments for services.
Communication:
- Communicate effectively with patients, staff, and other healthcare professionals.
- Relay messages accurately and promptly.
- Maintain a professional and courteous demeanor at all times.
Other Duties:
- Perform other duties as assigned.
Qualifications:
- High school diploma or equivalent required; associate's or bachelor's degree preferred.1
- Minimum of 1-2 years of experience in a2 receptionist or administrative role, preferably in a healthcare setting.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management skills.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Experience with electronic health record (EHR) systems is a plus.
- Ability to handle sensitive information with confidentiality and discretion.
- Ability to work independently and as part of a team.
- Knowledge of HIPAA regulations.
- Experience with insurance verification and billing.
- Empathy and understanding for patients experiencing mental health challenges.
