Office ManagerJob Summary
We are seeking an organized, dependable, and customer-focused Office Manager to support the daily administrative, customer service, and bookkeeping functions of our automotive repair business. This position serves as a primary point of contact for customers and helps coordinate repairs from scheduling through invoicing and vehicle delivery.
Duties and Responsibilities
- Answer phones, greet customers, respond to questions, and route messages appropriately.
- Schedule vehicles for repairs and coordinate customer pick up, delivery, drop-offs and tow-ins.
- Provide customers with repair updates, scheduling changes, and estimated completion information.
- Communicate with technicians, management, vendors, and customers to help keep repairs moving efficiently.
- Assist with transporting customer vehicles
- Provide administrative support to management and book keeper
- Maintain accurate customer, vehicle, repair, and financial records.
- Track company expenses and receipts using bookkeeping software.
- Create and send invoices and supporting repair documentation.
- Post customer payments and monitor accounts receivable.
- Generate monthly statements and credit memos.
- Notify management of outstanding or past-due invoices.
- Deposit checks and manage incoming mail.
- Work with the company accountant on account reconciliations.
- Manage office supplies and facility, utility, and other business payments.
- Assist with payroll, when applicable.
- Help improve office, accounting, and administrative processes.
- Maintain confidentiality of customer, employee, and company information.
- Perform other duties as assigned.
Qualifications
- At least two years of experience in office administration, customer service, bookkeeping, or a related role.
- Experience using bookkeeping or accounting software; QuickBooks experience is preferred.
- Working knowledge of invoicing, accounts receivable, payment posting, expense tracking, and basic account reconciliation.
- Strong customer-service and professional communication skills, including the ability to handle difficult or frustrated customers calmly.
- Excellent organizational skills, attention to detail, and ability to maintain accurate records.
- Ability to prioritize multiple tasks and follow through in a fast-paced environment with limited supervision.
- Proficiency with email, spreadsheets, and standard office software.
- Experience handling confidential financial, customer, and employee information.
- Valid driver’s license and acceptable driving record.
- Ability to safely operate a variety of customer vehicles.
- Ability to pass any job-related background or driving-record screening required by the company.
- Automotive repair, collision repair, dealership, or service-industry experience is preferred.
Compensation and Benefits
- Salary range based on experience: $50,960–$60,300 annually ($24.50-$29.00/hr)

Pay: $24.50 - $29.00 per hour
