Required Qualifications:
- HSD/GED
- Experience with EPIC or FAST
- 1 year of recent experience working in an outpatient clinic or medical office setting
- Ability to read, understand, and respond to detailed oral and written instructions
Preferred Qualifications:
- 2+ years’ recent experience in large-scale staff and physician scheduling
- Certification in healthcare administration or scheduling
- Understanding of medical terminology
- Experience with UKG
Primary Duties and Responsibilities:
- Develop and maintain comprehensive staff and provider schedules, ensuring appropriate coverage for all clinic shifts.
- Enter, update, and adjust schedules in UKG (Kronos) to reflect real-time staffing changes.
- Monitor staffing levels and address last-minute changes (illnesses, emergencies, or volume changes) promptly.
- Ensure all scheduling complies with policies, labor laws, and departmental guidelines.
- Publish schedules on a regular cycle and communicate changes clearly and in advance.
- Coordinate weekend and holiday staffing, implementing fair rotating schedules and ensuring adequate coverage.
- Receive and process time-off requests, verifying eligibility and obtaining necessary approvals.
- Update schedules to reflect approved time off and arrange coverage as needed.
- Track attendance and availability, reporting concerns to management as appropriate.
- Collaborate with HR and Payroll to reconcile schedules with recorded time off.
- Perform routine audits of schedules to verify accuracy and compliance with regulations.
- Monitor adherence to work-hour limits, overtime rules, and departmental policies.
- Prepare and present staffing reports using UKG, Excel, or Tableau to inform leadership decisions.
- Recommend process improvements based on audit findings and operational feedback.
Pay: $25.00 - $28.00 per hour
